Our company, located in the North-Boston market and supplying industrial capital equipment to the distribution link of the supply chain, is seeking a professional, detail oriented, experienced, and dependable Parts Operations Supervisor to join Parts Department.

Summary

Responsible for the continued administrative support to the customer, service technicians, Parts staff, Parts Managers, as well as the performance of the Parts department's communication function so that internal and external customers' expectations are exceeded and procedures are implemented and adhered to. Works under general supervision; a moderate degree of latitude and judgment are required in the performance of assigned tasks.

Essential Functions

1.Hires, trains, supervises and evaluates Parts Correspondents. The Parts Operations Supervisor's evaluation will be largely based on the productivity, effectiveness and morale of the Parts internal staff. Documents and implements procedures that will ensure a consistent and professional level of customer service. Ensuring quality with every transaction.
2.Participates in department planning and policy making to ensure they support the effort to provide effective and uniform services to the customer. Continually recommends and implements actions/changes needed to increase efficiencies within the administrative processes.
3.Understands and manages the administrative processes for order entry and order processing, monitoring the backorder status. Escalates matters to the appropriate manager for resolution when necessary.
4.Answers incoming calls from customers in a professional manner as the first step in the order entry cycle. Gathers information about customer needs and processes customers' orders immediately using established departmental procedures.
5.Assumes responsibility for order entry organization and traceability.
6.Coordinates and holds accountability for the completion of technician van inventories with Service Operations Supervisor.
7.Stays current on all Raymond and other OEM policies and procedures as they relate to parts department operations.
8.Resolves customer issues principally through phone conversations with the customer.
9.Works closely with the Service Operations Supervisor to improve benchmarks for both departments.
10.Responsible for managing the flow of information between aftermarket departments.
11.Assumes responsibility for inventory control at consignment locations.

Other Duties

1.Maintains a database of vendors and other sources.
2.Works closely with Warranty Administrator to ensure timely shipment of warranty parts.
3.Authorizes vendor invoices for payment.
4. All other duties & special projects as assigned

This job is a Full-Time position.
This position requires a High School Diploma and at least 3 years of experience.
Travel is negligible.


Job Requirements:
Education/Experience Requirements:

Associate Degree or 2-3 years relevant industry experience required. Prior supervisory experience preferred. A background in the forklift/material handling equipment industry desired.


Special Skills Needed

Exceptional organizational and interpersonal skills required. Positive attitude, well groomed, professional appearance required. MUST be a team player. MUST have solid computer skills; experience with MS Access highly desirable. Must be able to write and implement procedures and local work instructions.
