JOB SUMMARY:
The purpose of this role is by provide operational support for the implementation of mental health guidelines in youth sport across a national network of youth sport anchor partners. The Project Coordinator will lead coordination and implementation of mental health guideline initiatives across diverse grassroots, school-based, and high-performance sport environments.
This position is grant funded and is for a one year period.
SALARY INFORMATION:
In compliance with New York’s Pay Transparency Act, the annual base salary for this position is $68,000. Adelphi University considers factors such as departmental budgets, scope and responsibilities of the position, candidate’s work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. An annual base salary higher than the range may be warranted in circumstances where a candidate has demonstrable equivalent prior higher education experience at another University.

REPORTS TO: Professor Meredith Whitley
RESPONSIBILITIES & DUTIES:
The Project Coordinator will serve as the operational backbone of the project, managing daily activities during the onboarding, active implementation, and tracking phases.
Anchor Partner & Site Coordination
Serve as the primary, day-to-day liaison for the project's anchor partners and their numerous localized clubs, sites, and school districts.
Coordinate the execution and management of Memorandums of Understanding (MOUs) with all partner organizations.
Facilitate regular touchpoints and lead logistical operations for the project's Community of Practice to facilitate sharing of best practices across networks.
Implementation Support
Support anchor partners as they operationalize mental health first-aid, update safeguarding policies, establish reporting protocols, and build coach wellness support structures.
Work closely with the Project Leads to support their engagement with partner leadership (e.g., Chief Program Officers, Research Directors) in tailoring toolkits and implementation strategies to fit local capacities and organizational cultures.
Data Collection & Evaluation Management
Assist the Project Leads in administering, tracking, and managing a mixed-methods measurement and evaluation strategy.
Coordinate the distribution and collection of quantitative surveys to youth coaches and organizational staff.
Assist the Project Leads in scheduling and supporting interviews and focus groups.
Manage research incentives distributed to evaluation participants.
Travel & Event Logistics
Coordinate and participate in occasional project-related travel, including site visits to anchor partners to monitor implementation fidelity firsthand.
Provide on-the-ground or virtual logistical coordination for project team meetings and alignment workshops.
Communications & Public Engagement
Manage and elevate the project's online presence and social media platforms to raise community awareness, amplify project milestones, and share impact updates with external stakeholders.
Assist the Project Leads in crafting high-impact presentations, briefing materials, and featured insights for wider dissemination to diverse audiences.
Grant Administration & Operations
Track funder reporting deadlines and lead the drafting of narrative progress reports.
Manage, produce, and disseminate internal paperwork, including partner invoices, training stipends, coach compensation allocations, and participant research incentives.
Monitor project expenses and collaborate with institutional administrative offices to ensure fiscal compliance.
Assist the Project Leads in revising materials.
Collaborate with the project team to ensure administrative and research tasks are streamlined.
Provide regular progress updates to Project Leads to ensure overarching grant alignment.
REQUIREMENTS (Knowledge, Skills and Abilities):
Exceptional cross-functional communication and interpersonal skills, with the ability to manage relationships spanning academic researchers, elite sports executives, and volunteer community coaches.
Meticulous organizational skills.
Proficiency with digital collaboration tools, survey platforms, and general project management software.
Familiarity with youth sports ecosystems, coach training models, or sport-based youth development (SBYD) frameworks.
Basic understanding of mixed-methods research designs (handling both survey data and qualitative focus groups/interviews).
Passion for youth mental health, psychological safety, and systemic social change.
PHYSICAL REQUIREMENTS:
This position is 100% remote. Flexible daily hours, though alignment with U.S. time zones is required to interface with national anchor partners.
Willingness and ability to travel occasionally for project-related tasks.
This position is not eligible for visa sponsorship.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:
Bachelor's degree is preferred.
Two to four years of experience in project management, program coordination, or research administration, ideally within public health, youth development, sports administration, or non-profit sectors.
Proven experience tracking data, timelines, and deliverables across multiple external organizations simultaneously.
