Full Job Description

A premier Southern California real estate development and investment company is seeking a detail-oriented and experienced Office Bookkeeper to join its property management division. This is a hands-on, full-cycle bookkeeping role supporting a portfolio of commercial, and residential properties across multiple entities. The ideal candidate is organized, proactive, and comfortable working in a collaborative, fast-paced office environment.

Responsibilities

Accounting

Serve as the primary point of contact for all income processing — verifying receipts against lease terms, resolving discrepancies with tenants, coding and posting deposits in RealPage, and processing same-day remote deposits whenever possible
Maintain and update accounts receivable tracking logs and schedules on a daily and weekly basis; follow up on outstanding balances and provide reports to supervisor for review
Process all incoming invoices across all companies and properties in RealPage, including verification of billing accuracy, review for outstanding balances or late charges, collection of required documentation (W-9s, lien releases, insurance certificates), proper cost coding, and routing for staff approvals
Manage full accounts payable cycle, including weekly check issuance, obtaining required approvals, preparing checks for supervisory and presidential sign-off, photocopying executed checks for file, and processing outgoing mail
Produce monthly billing statements for all commercial tenants, with distribution on or before the 19th of each month
Prepare monthly construction invoices, including assembling unbilled invoices, coding against the approved budget, compiling conditional and unconditional mechanic lien releases, submitting the complete package to the bank, and recording receipts in CMIS upon funding
Assist with monthly cash flow expense reporting and provide to supervisor for review
Produce monthly operating reports for all properties and companies, verifying that all income and expenses are accurately posted in RealPage prior to report generation
Track and graph recurring expenses across all projects and properties to identify trends
Prepare annual CAM reconciliations for commercial tenants, subject to supervisory review and approval prior to distribution
Serve as secondary support for annual 1099 preparation and filing for all vendors
Assist with annual tax preparation, including gathering documentation and coordinating delivery of reports to the tax firm

Administrative

Assist with incoming phone coverage as part of the team rotation
Serve as the primary person responsible for all outgoing mail and overnight deliveries
Maintain vendor and tenant contact records in RealPage, including weekly reporting and follow-up on expired insurance certificates, missing tax ID numbers, and expired or missing contractor licenses
Assist with annual file rotation, archiving of prior-year records, and setup of new files
Manage the plan and document archive, maintaining an up-to-date inventory and coordinating document destruction as needed
Prepare and submit the annual business license renewal to the City of Los Angeles, subject to supervisory review prior to submittal

Qualifications

Minimum 3 years of bookkeeping experience, preferably in property management
Proficiency in RealPage required; experience with CMIS a plus
Advanced Excel skills and strong overall computer proficiency
Ability to read and interpret commercial leases across retail, office, and industrial property types
Exceptional attention to detail and strong organizational skills
Able to manage multiple priorities across multiple entities simultaneously
Strong verbal and written communication skills
Collaborative, self-motivated, and adaptable
