OVERVIEW OF POSITION
Under the supervision of the Regional Director (DMV region), the Administrative Assistant (Part-Time) provides administrative support to the DMV Region and ensures the efficient operation of the office. This role is responsible for managing day-to-day administrative tasks, coordinating schedules, handling communications, and supporting office management activities to contribute to the smooth functioning of the organization.
The Administrative Assistant (Part-Time) must be highly organized, detail-oriented, and collaborative, with the ability to manage multiple priorities and ensure all tasks and projects are completed accurately and in a timely manner. This position plays a key role in supporting the Regional Director (DMV region) and ensuring the effective coordination of regional operations.
Location: Washington D.C. (Hybrid – 2 days/week).
Job Type: Part-Time, Temporary-to-Permanent (Temp-to-Hire)
Salary: $25 per hour
Schedule: 25 hours per week
MAJOR RESPONSIBILITIES
Administrative Support
- Provides administrative support to the Regional Director and assists with special projects as assigned.
- Schedules internal and external meetings, maintains the Director's calendar, and coordinates team meetings and conference calls.
- Prepares meeting agendas, materials, and detailed meeting minutes for DMV Region meetings.
- Tracks action items and follow up on project and meeting deliverables to support timely completion.
- Coordinates travel arrangements, including flights, accommodations, and transportation.
- Reconciles business expenses and assist with timely expense reporting and processing.
- Maintains and organizes electronic and physical filing systems, ensuring the security and accessibility of confidential information.
Office Administration and Coordination
- Assists with day-to-day office operations to support efficient and productive work environment.
- Serves as a point of contact for internal and external communications for Washington, DC and Baltimore, MD offices.
- Answers and direct phone calls, emails, and mail, responding to inquiries as appropriate.
- Maintains office supplies and equipment inventory and coordinates ordering as needed.
- Supports with logistics for onsite meetings, retreats, and special events, including venue coordination, conference room reservations, catering, equipment setup, and preparation of materials.
- Prepares and distributes internal and external correspondence, reports, and other administrative documents.
- Enters, updates, and maintains accurate information in databases, spreadsheets, and organizational systems.
Perform other administrative duties and special projects assigned.
EXPERIENCE & QUALIFICATIONS
Required
- Associate degree or equivalent combination of education and experience required;
- Minimum of 2 years of administrative, office support, or related experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and SharePoint.
- Strong organizational skills with exceptional attention to detail and proofreading ability.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to effectively prioritize workload, manage multiple tasks, and meet deadlines in a fast-paced environment.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Strong problem-solving skills and ability to work independently and collaboratively as part of a team.
Preferred
- Bachelor's degree preferred.
- Experience working in a nonprofit, community-based, or mission-driven organization.
