Full Job Description

Position Overview

This position is responsible for College Counseling of designated students grades 10-12. As well as upholding all policies set forth in the Curriculum Guide, Faculty/Staff Handbook, and Student Handbook.

Essential Job Functions

· Work within the college counseling department and have daily interactions with all other counselors (college/guidance) here at Cascia Hall.

· Conduct Scoir training “Bootcamp” in August for new juniors.

· Host Financial Aid Night for all senior parents in late September with representative from public and private universities.

· Teach College Search/Application Seminar in January (Minimester) to all juniors.

· Host College Information Night in February. Primarily for junior families, but sophomore and freshman families may also attend.

· Prepare a detailed, thorough College Information Packet to distribute to each junior family at College Information Night.

· Meet with designated junior and sophomores individually at least once during the first and second semester (often multiple times).

· Meet with designated juniors and sophomores in a classroom setting in March to begin the scheduling process for the next academic year.

· Meet with designated seniors individually multiple times during the first semester/college “season” and have needed follow-up meetings during the second semester.

· Host and meet with between 50-75 colleges and universities who visit Cascia Hall for daytime student presentations during the fall and spring semesters. There will be occasions where colleges and universities request an evening presentation and we will accommodate.

· Attend and represent Cascia Hall at local breakfast and/or luncheon meetings with visiting college representatives who do not come to Cascia Hall during the day.

· Assist all students individually with the college search and application process (identifying schools to apply to, researching academic programs and scholarship opportunities).

· Write a detailed, informative letter or recommendation to send to colleges, universities, scholarship competitions/committees, coaches, etc. for every designated senior.

· Organize and oversee the PSAT given to all sophomores and juniors in October, assigning proctors and securing classrooms for testing.

· Review the PSAT, Pre-ACT, SAT I, SAT II, and ACT scores with each student.

· Meet with parents in individual appointments as requested.

· Ensure that all college documents (transcripts, letter of recommendation from counselor and teacher, resumes, etc.) are sent to colleges/universities in a timely manner.

· Conduct personal counseling meetings with individual students as requested by students, parents, faculty, or the Upper School Guidance Counselor.

· Attend and represent Cascia Hall at professional counseling organization conferences when possible, such as NACAC, College Board, GPACAC, ACT.

· Work within the College Counseling department to oversee department budget and ordering of college counseling office supplies, books, materials for each upcoming year.

· Ensure that all college counseling resources (files, brochures, handouts, digital material) are recycled and updated yearly.

· Speak at Inside Cascia event (as requested)

· Speak at grade level Brown Bag and CPFA meetings (as requested)

· Conduct a credit check for every senior to ensure the proper amount of credits in each discipline for graduation. This includes reviewing all transfer students coming into Cascia Hall.

· Coordinate any needed summer college credit recovery for your designated students.

· Send official letters to parents of students regarding academic probation status

· Ensure (only with US Registrar) that documents are sent to the Oklahoma Promise for qualifying students in a timely manner (June deadline).

· Assist the Advanced Placement (AP) Coordinator in administering AP exams in May.

· Provide timely, important information to the Advancement Office (test registration deadlines, scholarship opportunities, summer camps and institutes, other general reminders) for the weekly Cascia Bulletin and any other generated press releases.

· Work two weeks during the summer

Physical Demands

· Prolonged periods of sitting, standing, and walking throughout the school campus.

· Ability to move between multiple buildings, classrooms, meeting spaces, and event locations on campus.

· Ability to operate standard office equipment, including computers, printers, copiers, telephones, and audiovisual presentation equipment.

· Ability to communicate effectively in person, by telephone, and through virtual meeting platforms.

· Ability to prepare, review, and maintain detailed records, reports, correspondence, and student documentation.

· Ability to lift, carry, and transport materials weighing up to 25 pounds, including testing materials, event supplies, informational packets, and office resources.

· Ability to attend and participate in evening programs, parent meetings, college representative visit and occasional off-campus professional events.

· Ability to travel locally, regionally, and occasionally nationally for professional development conferences, college visits, and recruitment activities.

· Ability to maintain focus and attention to detail while managing multiple priorities, deadlines, and frequent interruptions.

· Ability to work extended hours during peak periods, including college application season, testing administration, and special events.

· Ability to listen, understand, and respect the uniqueness of each student and situation while balancing the common good in the Augustinian tradition.

· Be approachable yet firm, to be fair, yet consistent.

· Ability to establish and maintain effective working relationships with faculty and motivate faculty to assist with all discipline and attendance issues

Certificates, Licenses, Registrations

· Maintain a valid Driver's License.

Educational and Experience Requirements

· Graduation from an accredited four-year college or university

· Five (5) years’ experience working with students in a school setting

· Any equivalent combination of education and experience
