Job Title: Seasonal Billing Specialist / Billing Coordinator

Job Description

3 Generations Surfacing is seeking a Seasonal Billing Specialist / Billing Coordinator to support our accounting and administrative team during our busy season.

This position is intended for someone with some prior billing, bookkeeping, accounting, or office administration experience. The employee will be responsible for helping prepare accurate customer invoices, organizing supporting documentation, reviewing job information, and tracking billing activity.

This is not a senior accounting position, but candidates should already understand basic billing procedures and be comfortable working with invoices, spreadsheets, emails, and job-related documentation.

Training will be provided on our specific systems and company procedures.

Responsibilities

Responsibilities may include:

Preparing and processing customer invoices
Reviewing job records to confirm billing information is complete and accurate
Gathering and organizing supporting billing documents
Matching invoices with purchase orders, work orders, job completion records, and other backup
Entering billing information into accounting software, spreadsheets, and company systems
Maintaining organized billing files and customer records
Tracking invoices that have been submitted, approved, paid, or require follow-up
Identifying missing or incorrect billing information
Communicating with project managers, office staff, subcontractors, customers, and vendors to obtain necessary documentation
Monitoring billing-related emails and responding to routine requests
Assisting with invoice corrections, customer questions, and billing discrepancies
Helping track outstanding accounts receivable and customer payments
Assisting the accounting and administrative team with other related tasks as needed

QualificationsRequired

High school diploma or equivalent
Comfortable using computers, email, and Microsoft Office
Basic proficiency in Microsoft Excel
Strong organizational and recordkeeping skills
Excellent attention to detail
Ability to manage multiple invoices, deadlines, and documentation requests
Ability to communicate professionally with employees, customers, and vendors
Dependable and able to work independently after training

Preferred

Ability to speak, read, and write in both English and Spanish
Experience with QuickBooks, Sage, or similar accounting software
Experience working in construction, contracting, project-based billing, or a related industry
Familiarity with purchase orders, work orders, job costing, accounts receivable, or payment applications
Some college coursework in accounting, finance, business, or a related field

Ideal Candidate

The ideal candidate has previous billing or administrative accounting experience and understands the importance of accurate documentation.

This person should be organized, detail-oriented, comfortable following up on missing information, and capable of handling a steady volume of invoices during a fast-paced season.

The candidate does not need to be an experienced accountant, but should have enough billing knowledge to understand invoices, supporting documents, customer records, and basic accounts receivable procedures.

Compensation

This seasonal position pays $25.00 per hour.

Schedule

This position will run from July through December. Specific days and working hours will be discussed during the interview process.
