Position Objective
At Habitat for Humanity Philadelphia (“HFHP”) we are builders who work alongside, not for others. We are driven by accountability and defined by our stick-to-itiveness. The Volunteer Coordinator will support HFHP’s volunteer force working with individuals, groups, and non-construction volunteers in conjunction with the Volunteer Manager. The individual will be responsible for cultivating and stewarding relationships with volunteers at our ReStore, build sites, and office to increase support and build capacity for the organization. This position will assist in responding to all volunteer inquiries, organizing and scheduling volunteer shifts, and growing the pool of regular, committed volunteers that our programs rely on.
Key Responsibilities of Position
Volunteer Scheduling and Relations
Respond appropriately and in a timely fashion to all volunteer, group, & service inquiries and scheduling-related correspondence.
In partnership with Build and ReStore staff, support the Volunteer Manager in determining volunteer needs for project sites.
Schedule individual and group volunteers, strategically balancing available opportunities.
Maintain and update volunteer opportunities posted on Volunteer Scheduling System and update all calendars to reflect the changing needs of projects.
Assist scheduling all partner families for sweat equity, in coordination with Homeowner Services.
Ensure that volunteers receive informative, targeted communications by writing HFHP’s volunteer newsletter with event updates, volunteer opportunities, etc.
Recruit and coordinate volunteer photographer schedules for team building days and special events.
Serve as a liaison between volunteers and HFHP staff.
Facilitate volunteer days as needed, including Adirondack Builds, Saturday Builds, and regular group Build Days.
Assist in planning and organizing Martin Luther King Day of Service volunteer events.
Recruitment and Outreach
Schedule and facilitate regular volunteer orientations (twice per month).
Build and maintain relationships with skilled, returning, and donor volunteers to support recruitment and retention.
Recruit and retain volunteers with specialized skills, including construction, retail, photography, and similar expertise.
Develop a Core Volunteer program for Build and ReStore to strengthen the retention of individual volunteers.
Assist with updating Volunteer Task List to be used at ReStores and one build sites to maintain consistency of volunteer efforts when needed.
Attending occasional tabling events.
Retention/Appreciation/Reporting
Develop and implement volunteer appreciation and recognition strategies, including an annual appreciation event and volunteer spotlights through interviews, newsletters, or e-news features.
Train individual volunteers in ReStore operations and Habitat for Humanity knowledge to strengthen retention, productivity, and connection to HFHP.
Visit and/or work at project sites as needed to build relationships and help coordinate certain special events.
Collect measurable data in relation to volunteer numbers, volunteer retention, & volunteer conversion and share monthly reporting methods.
Monitor volunteer satisfaction through occasional evaluations/surveys or phone calls.
Administrative Coordination
Maintain volunteer data and volunteer records, including sign-in sheets, liability waivers, youth release forms, etc.
Implement appropriate policies for volunteers completing court-ordered community service, and for volunteers under the age of 18.
Assist in maintaining, updating, and improving volunteer management policies and procedures as necessary.
Be a resource for individuals calling HFHP looking for housing assistance.
Pull volunteer data reports for HFHP International, quarterly Development Team reports and others as needed.
Required Education, Experience, Knowledge & Skills
2-4 years of experience in a professional setting; Experience working with volunteers, speaking to groups and or group facilitation.
An interest in non-profit work and enthusiasm for HFHP’s Mission.
Detail oriented and highly organized.
Strong written and verbal communication skills.
Ability to self-direct, self-motivated, and multi-task.
Ability to effectively work with volunteers of varied backgrounds, skills, and experience.
Experience in customer service.
Experience with Salesforce, GivePulse, or a similar CRM system.
Valid driver’s license and must be at least 21 years old to operate company vehicles.
Physical Requirements
Ability to work at a computer for extended periods.
Ability to lift and carry up to 25 pounds.
