About the Role
ICT Insurance Group is looking for an organized, personable Administrative Assistant to be the backbone of our office. You'll be the first face our clients and agents see, the person who keeps our leadership team running smoothly, and a key player in how we manage incoming leads, reporting, and agent contracting. This is a hands-on, varied role for someone who likes wearing a lot of hats and doesn't mind a fast pace.
What You'll Do
- Serve as front-desk receptionist and general office point of contact — greeting visitors, answering phones, and directing inquiries
- Provide administrative support to leadership and staff across the agency
- Manage incoming leads and enter/update records in our CRM (AgencyBloc)
- Prepare and run regular reports for leadership and agents
- Field and process contracting requests from our agents and FMO (Field Marketing Organization) agents
- Handle day-to-day office management tasks — supplies, scheduling, correspondence, and general upkeep of office operations
- Support various ad hoc administrative projects as needed
What We're Looking For
- 3+ years of administrative experience
- Insurance industry experience a plus, but not required
- Comfort learning and using AgencyBloc (or similar CRM software)
- Experience with AI platforms (e.g., Claude) for day-to-day productivity
- Proficiency with Google Workspace (Gmail, Google Sheets, etc.) and Microsoft Suite
- RingCentral experience a plus
- Strong communication skills and a professional, welcoming phone/front-desk presence
- Excellent organizational skills and ability to juggle multiple priorities
- A team-first attitude and reliability — you're often the first and last point of contact for our office
