Job Summary

We are seeking a motivated and detail-oriented Licensed Insurance Agent Assistant to join our dynamic team. In this vital role, you will support licensed insurance agents by managing administrative tasks, assisting with client communications, and ensuring smooth office operations. Your energetic approach and strong organizational skills will help enhance client experiences and streamline daily workflows. Responsibilities

Provide administrative support to licensed insurance agents, including scheduling appointments and managing calendars with precision.
Handle client inquiries via phone, email, and in person, delivering exceptional customer service with professional phone etiquette.
Assist with data entry, maintaining accurate records of client information, policy details, and claims using Microsoft Office and Google Workspace tools.
Manage multi-line phone systems efficiently to direct calls appropriately and respond promptly to client needs.
Support office management tasks such as filing, document proofreading, and handling confidential information securely.
Coordinate with clients for policy updates, follow-ups, and document submissions to ensure timely processing.
Maintain organized office operations by managing supplies, overseeing front desk duties, and supporting bookkeeping activities using QuickBooks.

Experience

Previous clerical or administrative experience in an office setting is preferred.
Proven customer service skills with the ability to communicate effectively via phone and in person.
Familiarity with office management software such as Microsoft Office Suite (Word, Excel), Google Workspace, and QuickBooks is highly desirable.
Bilingual abilities are a plus to serve diverse client needs effectively.
Experience handling confidential information with professionalism and discretion.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
Personal assistant or office support experience that demonstrates excellent time management and calendar coordination skills.
