Shelter Pet Care Coordinator

Job Summary
The Shelter Pet Care Coordinator (2) serves as the first impression for shelter visitors and is a member of our Adoption Team, supporting the mission‑driven, community‑focused mindset of our nonprofit shelter. This role’s primary responsibility is to provide exceptional customer service by warmly greeting visitors, responding to incoming communications (email, website, and phone), and ensuring all front desk operations run smoothly and efficiently.
The Shelter Pet Care Coordinator serves as part of the adoption and intake team, maintains accurate and detail‑oriented records in Shelterluv and Clinic HQ, and assists the Shelter Manager in coordinating daily activities for volunteers and staff. This position also acts as a vital liaison between the front office, shelter staff, and clinic staff, ensuring animals and clients receive compassionate, high‑quality care.
Because this role is often the first point of contact for the public, the Shelter Pet Care Coordinator must be able to navigate tense interactions, de‑escalate challenging situations, and maintain a calm, professional presence. As part of a collaborative nonprofit shelter environment, this position requires flexibility, teamwork, and a strong commitment to our mission. Occasional weekends, evenings, and holidays are required as needed to support organizational needs and ensure consistent service.
Key Responsibilities Include, but are not limited to:
· Monitor and respond promptly to incoming emails, website inquiries, and phone calls to the shelter.
· Greet and assist customers, visitors, and volunteers, providing excellent customer service at all times.
· Oversee and initiate the administrative portions of the intake process for animal surrenders, this includes coordinating with animal care staff to receive the animal.
· Gather photos, descriptions, and found locations for stray animals and post promptly on social media to help reunite them with their owners.
· Assist with the adoption process by collecting adopter information, entering data into Shelterluv, ensuring animal records are accurate and up-to-date, and assisting adopters as needed.
· Support clinic staff by updating clinical information in Shelterluv and Clinic HQ, scheduling appointments, checking clients in and out, and dispensing medications as directed.
· Assist the Shelter Manager with coordinating daily activities for volunteers and front desk staff; assign tasks and ensure coverage for shelter operations.
· Coordinate and assist with Rescue and Shelter transfers.
· Ensure staff have working radios and other communication tools; report any equipment or technology issues (computers, phones, printers, monitors, radios) to the appropriate person for repair or replacement.
· Serve as a liaison between the front office and back shelter staff, relaying information, updates, and needs throughout the day.
· Assist shelter and clinic staff with cleaning kennels, walking dogs, showing animals to potential adopters, observing animals after procedures, or administering vaccines when needed.
· Maintain organized and accurate records of communications, adoptions, surrenders, and other interactions.
· Follow all safety protocols and shelter policies.
· Perform other duties as assigned.
Requirements
· Previous experience in customer service, reception, or front desk supervision preferred.
· Strong communication and organizational skills.
· Ability to multitask in a fast-paced, high-volume environment.
· Comfortable handling animals as needed, including basic restraint and assistance during care.
· Commitment to providing a welcoming, professional first impression both in person and by phone or email.
· Ability to work cooperatively with staff, volunteers, and the public.
· Basic computer skills and familiarity with database systems; experience with Shelterluv or similar animal shelter software is a plus.
Work Environment & Physical Requirements
· Ability to lift up to 50 pounds without assistance.
· Ability to sit at a desk, look at a computer screen, and talk on the phone for extended periods.
· Ability to spend portions of an 8-hour shift standing, walking, bending, and reaching as needed.
· Ability to work indoors and outdoors in various weather conditions.
· Frequent exposure to cleaning chemicals, animal waste (feces, urine, vomit), and blood.
· Work is performed in a shelter environment that may be noisy, fast-paced, and emotionally challenging at times.
