Full Job Description

Job Summary

We are seeking a detail-oriented and organized Accounts Receivable Specialist to join our accounting team. The ideal candidate will be responsible for managing customer invoicing, applying payments, monitoring outstanding accounts, and maintaining accurate financial records. This position requires strong communication skills, attention to detail, and the ability to work independently while meeting deadlines.

Responsibilities

Generate and distribute customer invoices accurately and on time.
Apply customer payments received via check, ACH, wire transfer, and credit card.
Monitor accounts receivable aging and follow up on past-due invoices.
Contact customers regarding outstanding balances in a professional and timely manner.
Reconcile customer accounts and resolve billing discrepancies.
Investigate and resolve payment issues, deductions, and short payments.
Maintain accurate customer account records within the accounting system.
Prepare AR aging reports and assist with month-end closing activities.
Collaborate with the sales and customer service teams to resolve invoice questions.
Respond to customer inquiries regarding invoices, statements, and payment history.
Process credit memos and adjustments when appropriate.
Assist with cash application and bank deposit reconciliation.
Support annual audits by providing requested documentation.
Maintain compliance with company accounting policies and internal controls.
Perform other accounting and administrative duties as assigned.

Qualifications

Required

High school diploma or GED (Associate's degree in Accounting or Finance preferred)
2+ years of accounts receivable or accounting experience
Proficiency in Microsoft Excel
Experience with accounting software (such as QuickBooks, Sage, NetSuite, Microsoft Dynamics, SAP, or Oracle)
Strong organizational and time management skills
Excellent verbal and written communication skills
High level of accuracy and attention to detail

Preferred

Experience in B2B collections
Knowledge of general accounting principles
Experience working in a fast-paced environment
Customer service experience
Experience working with commissions
