Oaks Properties is looking for a friendly, organized, and detail-oriented Office Administrative Assistant to join our corporate office in Minneapolis. This role is the administrative hub of our office, supporting our executive team and helping keep daily operations running smoothly for our teams in Minnesota, Texas and Missouri.
Schedule: Monday - Friday 8am-5pm
Responsibilities
- Welcome visitors and answer incoming phone calls.
- Provide administrative support to the President and Home Office staff.
- Manage office emails, mail, filing, and general office organization.
- Coordinate meetings, conference room setup, and catering.
- Order and maintain office, kitchen, and marketing supplies.
- Scan checks, code invoices, and provide administrative support to accounting.
- Assist with planning employee events, office lunches, and company celebrations.
- Assist with special projects and support Operations, HR, and Accounting as needed.
- Run errands, including delivering packages, bank deposits, and post office trips.
- Provide office coverage at local properties when Community Managers are out.
- Travel to local properties as needed to assist with office and resident support.
Qualifications
- 3+ years of administrative or office support experience preferred.
- Strong organizational and multitasking skills.
- Proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
- Excellent communication and customer service skills.
- Positive attitude with strong attention to detail.
- Ability to maintain confidentiality and work independently.
- Valid driver's license, reliable transportation, maintain auto-insurance and the ability to travel between company properties and local business locations as needed.
- Bilingual in English and Spanish is a plus.
