Premiere Property Group is a growing entrepreneurial real estate firm made up of independent Real Estate Agents who deliver professional real estate services in a range of locations and areas of expertise. The Office Manager is a full-time position that provides essential support for both our independent Real Estate Agents and Operations teams. This position reports directly to the VP of Operations.

Job Description:

The Office Manager provides first-rate customer service and professionalism assisting Brokers as a representation of the company's standards of practice -- by front desk, phone and email.

Office Manager Essential Duties:

Create a positive work environment for all PPG Agents, Staff and Guests
Collaborate with Brokerage Leadership Team to serve agent needs and plan events
Communicate upcoming events and track attendance
Maintain office supplies
Provide quality customer service to all clients and vendors
Maintain all conference room calendars
Receive and distribute incoming packages, send outgoing packages
Check and sort all incoming mail
Answer Phones
Manage corporate voicemail system and route voicemails as needed
Review and audit systems, as needed

Requirements: The Office Manager must have strong customer service and organizational skills and be able to handle many tasks simultaneously with a high degree of accuracy. It is critical that the person be friendly, helpful, flexible, approachable, professional, diligent and accurate. The ability to prioritize, to work under pressure and to utilize good time management skills is crucial to the success of this position. Transaction Coordination duties will be delegated to you when you have the time to take on TC clients while at the desk each day.

Transaction Coordinator: The Transaction Coordinator is responsible for assisting licensed real estate agents with their files. Transaction Coordination is a fee-based service available to our agents. It is essential that our TCs ensure consistent customer service across assigned agents.

Transaction Coordinator (TC) Essential Functions:

Help oversee document submission, checking for completeness of listing/purchase documents, uploading into online file management system, SkySlope. Collect missing documents when possible.
Support agent marketing efforts by placing orders for photos, signage, etc.
Draft documents and collect signatures in accordance with company and state ‘unlicensed assistant’ practices.
Prepare transaction summaries and send out to all relevant parties, including lenders, title & escrow companies, other agents/transaction coordinators, and clients.
Regularly update & maintain communication with clients, agents, title officer, lender, etc.
Input all listing information into MLS and marketing websites for agent to approve, update as needed.
Provide weekly file audits to assigned agents so files stay current, as well as provide calendar reminders for important deadlines.
Order home warranties for transactions, as needed.
Track personal TC productivity for reporting.
Support other Transaction Coordinators’ workloads, as available.
Provide consistent support across assigned agents, while also acknowledging that not all agents will want or need the same work done.
Maintain active Oregon Real Estate license.

Pay: $55,000.00 - $58,000.00 per year
