Job Overview
We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office, managing a variety of administrative tasks while delivering exceptional customer service. This role requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

Manage front desk operations, including greeting visitors and handling inquiries
Operate multi-line phone systems, ensuring professional phone etiquette
Perform data entry tasks with accuracy and efficiency
Maintain organized filing systems for easy retrieval of documents
Assist with calendar management, scheduling appointments and meetings
Provide customer support by addressing client needs and resolving issues
Prepare documents, reports, and correspondence using Microsoft Office and Google Workspace
Proofread materials for accuracy and clarity before distribution
Support office management tasks, including inventory control and supply ordering
Collaborate with team members to enhance office productivity

Skills

Proficient in Microsoft Office Suite (Outlook, Word, Excel)
Strong computer literacy with experience in Google Workspace
Excellent organizational skills with the ability to manage multiple tasks simultaneously
Effective time management skills to prioritize workload efficiently
Bilingual abilities are a plus for improved communication with diverse clients
Previous clerical or administrative experience preferred
Strong customer service skills with a focus on client satisfaction
Familiarity with dental or medical receptionist duties is advantageous
Typing proficiency for efficient data entry and document preparation
Personal assistant experience is beneficial for managing executive tasks
