Full Job Description

Front Office Administrative Assistant

Position Summary

The Front Office Administrative Assistant serves as the first point of contact for students, parents, staff, and visitors and plays a vital role in ensuring the efficient operation of the school's front office. This position requires exceptional organizational skills, professionalism, strong communication abilities, and a commitment to providing outstanding customer service. The ideal candidate is proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced educational environment.

Essential Duties and Responsibilities

Administrative and Clerical Responsibilities

Provide administrative and clerical support to ensure efficient school operations.
Coordinate daily office activities and manage the collection, organization, and distribution of information to staff, students, and families.
Prepare correspondence, reports, forms, and other documents for review by the Executive Team.
Maintain accurate student records, attendance reports, and other required school documentation.
Conduct research and communicate information through telephone, email, written correspondence, and online platforms.
Maintain confidential student files and records.
Report facility, equipment, or grounds maintenance concerns to administration.
Maintain a high level of accuracy, organization, and attention to detail.
Assist with maintaining school calendars, holidays, events, and parent communications.
Support teachers by locating records, resources, and information as needed.
Assist with planning, organizing, and preparing for school events and activities.
Represent the school at events as assigned.
Manage incoming and outgoing mail and postage needs.
Administer student medications in accordance with school policies and maintain accurate medication logs.
Answer and direct telephone calls professionally, take accurate messages, and ensure timely communication with staff.
Maintain staff resource areas and monitor supply needs.
Oversee school snack inventory and provide monthly inventory reports.

Financial Responsibilities

Accept, record, and maintain accurate records of student-related financial transactions, including activities, field trips, school supplies, and fundraising events.
Process parent payments through approved electronic payment systems.
Maintain confidentiality and accuracy when handling financial information.

Customer Service and Community Relations

Serve as the primary point of contact for prospective and current families, community members, vendors, and visitors.
Welcome visitors, determine the purpose of their visit, and direct them appropriately.
Respond to inquiries by phone, email, and in person in a professional and courteous manner.
Provide accurate information regarding school programs and admissions processes.

Qualifications and Requirements

High level of accuracy and attention to detail.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Adobe products, and common office technology.
Ability to operate office equipment, including copiers, scanners, telephones, postage meters, and conferencing systems.
Knowledge of student records management and confidentiality requirements.
Ability to administer medications according to school procedures and maintain accurate records.
Understanding of educational policies, procedures, and administrative operations is preferred.

Physical Requirements

Ability to lift and move supplies and materials weighing up to 30 pounds.
Ability to work in a busy environment with frequent interruptions and changing priorities.
Ability to remain active and engaged throughout the workday.

Education and Experience

Associate's Degree required; Bachelor's Degree preferred.
Minimum of two (2) years of progressively responsible administrative assistant or office management experience.
Experience in an educational setting preferred.
