Position Summary
The Dispatcher is responsible for coordinating daily service and installation schedules,
communicating with customers and technicians, and ensuring jobs are completed efficiently and
professionally. This position serves as the communication hub between customers, field staff,
and management to maximize productivity, customer satisfaction, and revenue.
Essential Duties and Responsibilities
Scheduling & Dispatching
Schedule and dispatch plumbing service technicians and installers to customer locations.
Monitor daily schedules and adjust routes to maximize efficiency.
Assign emergency and priority service calls as needed.
Coordinate technician availability, vacations, training, and call-outs.
Maintain real-time communication with field staff throughout the day.
Customer Service
Answer incoming customer calls in a professional and friendly manner.
Schedule service appointments and provide appointment confirmations.
Notify customers of technician arrival times and schedule changes.
Resolve customer concerns and escalate issues when necessary.
Maintain a high level of customer satisfaction and professionalism.
Administrative Support
Create and update work orders in the company software.
Verify job information, customer details, and scope of work.
Track completed jobs and ensure proper documentation is received.
Assist with invoicing preparation and job closeout procedures.
Maintain accurate records and dispatch logs.
Team Coordination
Communicate daily priorities and schedule changes to technicians.
Coordinate with warehouse staff regarding materials and equipment needs.
Participate in daily operations meetings and planning sessions.
Qualifications
High school diploma or equivalent required.
Previous dispatching, scheduling, customer service, or administrative experience
preferred.
Experience in plumbing, HVAC, construction, or service industries is a plus.
Strong computer skills and ability to learn dispatch software.
Excellent verbal and written communication skills.
Ability to multitask in a fast-paced environment.

Responsibilities
- Coordinate and schedule freight pickups and deliveries using transportation management systems such as Oracle Transportation Management and SyteLine.
- Monitor real-time GPS data to track fleet movements, optimize routes, and ensure timely deliveries.
- Communicate with drivers, carriers, vendors, and internal teams via multi-line phone systems while maintaining professional phone etiquette.
- Input accurate data related to shipments, dispatches, and fleet status into various platforms including AS400 and transportation management software.
- Manage shipping & receiving documentation, ensuring compliance with logistics procedures and 3PL (third-party logistics) requirements.
- Utilize GIS (Geographic Information Systems) tools for route planning and analysis to improve transportation efficiency.
- Maintain detailed records of dispatch activities, freight movements, and incident reports for analysis and reporting purposes.
- Collaborate with supply chain teams to support transportation planning initiatives that enhance overall logistics operations.
Qualifications
- Proven experience with transportation management systems such as Oracle Transportation Management or SyteLine.
- Strong understanding of GPS technology, GIS mapping, and fleet management tools.
- Excellent communication skills with the ability to handle multi-line phone systems professionally.
- Proficiency in data entry, typing accuracy, and using AS400 or similar enterprise resource planning (ERP) systems.
- Knowledge of shipping & receiving procedures, freight logistics, and 3PL operations.
- Analytical skills to assess transportation routes, optimize dispatching processes, and troubleshoot issues effectively.
- Familiarity with transportation planning concepts within a supply chain context.
