Position Summary
The Fleet Administrator is responsible for monitoring and maintaining the company’s fleet telematics and camera systems, and for supporting fleet maintenance operations through parts procurement and inventory coordination. This position is highly computer-focused and requires the ability to monitor multiple telematics platforms, analyze system data, generate reports, and identify operational issues related to fleet assets and driver behavior.
The role plays a key part in ensuring all fleet vehicles remain visible, compliant, and operational within the company’s telematics ecosystem. This includes daily monitoring of vehicle cameras and GPS systems, identifying inactive or malfunctioning devices, reviewing driver safety events, and escalating violations or technical issues. The coordinator also supports fleet maintenance operations by managing parts inventory, ordering wear items or unscheduled repair components, and coordinating parts pickup and delivery when needed.
Key Responsibilities
Responsibilities include, but are not limited to:
Telematics & Camera System Monitoring
- Monitor fleet telematics and camera platforms daily to ensure all devices are functioning and actively reporting.
- Identify and report inactive or malfunctioning GPS units or cameras.
- Review driver safety events and behavior alerts to identify violations of company policy or legal driving standards.
- Generate reports from telematics and camera systems and provide findings to the Fleet and Safety Manager.
- Maintain accurate vehicle and driver assignments within the telematics platform.
- Work with internal departments to update fleet asset data and driver information.
System Administration & Data Management
- Pull service and maintenance data from external vendor platforms and accurately update scheduled service information within the telematics system (Geotab).
- Maintain accurate fleet records, service intervals, and asset tracking information.
- Utilize reporting tools to query system data and compile operational reports.
- Troubleshoot telematics and camera system issues and coordinate with vendor technical support when necessary.
- Assist with identifying system trends or operational issues and recommend improvements.
Fleet Parts & Maintenance Support
- Monitor and report telematic information for scheduled maintenance.
- Assist with ordering parts for unscheduled vehicle maintenance and routine wear items.
- Input labor and parts cost for individual work orders.
- Maintain basic understanding of vehicle systems and related components (e.g., steering, braking, suspension).
- Coordinate with the Fleet Shop Foreman regarding incoming and outgoing parts inventory for the fleet maintenance shop.
- Assist with inventory control, parts returns, and core tracking.
- Support shipping and receiving activities related to fleet parts.
Logistics & Operational Support
- Perform occasional parts runs to vendors to pick up or deliver components.
- Process purchase invoices and work orders as needed.
- Transport company vehicles to satellite offices when required.
- Maintain organized inventory areas and ensure accurate labeling and tracking of parts.
Qualifications
- High School Diploma or equivalent required; additional technical or business education preferred.
- Minimum 3 years of relevant work experience in fleet operations, logistics, inventory management, or data/administrative roles preferred.
- Strong computer proficiency and ability to learn new software platforms quickly.
- Experience working with telematics, GPS tracking systems, or fleet management platforms preferred.
- Ability to query data, interpret system reports, and organize information into clear summaries.
- Strong attention to detail and ability to monitor multiple systems simultaneously.
- Working knowledge of Microsoft Office applications (Excel, Outlook, Word) and database systems.
- Basic knowledge of vehicle systems and parts categories (steering, braking, suspension, etc.) is preferred but not required.
- Strong organizational, analytical, and communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Ability to lift to 50 lbs when handling parts or inventory.
- Spanish bilingual a plus.
Licensing & Requirements
- Valid driver’s license with acceptable driving record.
- Must be 23 years of age or older to meet company vehicle insurance requirements.
- Ability to safely operate company vehicles when performing parts runs or vehicle transfers.
