Collections Specialist Job Summary

We are seeking a detail-oriented Collections Specialist to join our accounting team. This role is responsible for supporting day-to-day accounts receivable operations, including customer vendor onboarding, billing review, cash receipt processing, and providing administrative support to the Accounts Receivable function.

The ideal candidate is highly organized, accurate, and dependable, with the ability to manage multiple priorities in a fast-paced environment. This position requires strong analytical skills, excellent attention to detail, and a commitment to maintaining accurate financial records while meeting established deadlines.

Key ResponsibilitiesCustomer Vendor Onboarding

Manage customer requests related to vendor onboarding and registration to ensure timely account setup.
Provide required company documentation, including tax forms, banking information, certifications, and other supporting documents.
Establish and maintain customer portal access, including user credentials, when required.
Coordinate approvals and process applicable registration or onboarding fees.
Maintain accurate records of vendor setup documentation and customer requirements.

Billing Support

Review billing batches for completeness, accuracy, and compliance prior to final processing.
Identify discrepancies and coordinate corrections with appropriate team members.
Assist in maintaining billing accuracy and adherence to established procedures.

Cash Receipts & Cash Application

Review cash receipt and cash application batches for accuracy prior to posting.
Verify batch totals, identify discrepancies, and ensure compliance with internal controls.
Review and approve Lockbox, ACH, and credit card payment batches before posting.
Assist with maintaining accurate customer payment records.

Accounts Receivable Support

Provide day-to-day support for accounts receivable operations and assist with departmental priorities.
Research and resolve unapplied cash and payment discrepancies.
Communicate with customers to resolve unidentified or unmatched payments.
Process refund requests related to duplicate or overpayments in accordance with company procedures.
Assist with reporting, reconciliations, and other accounts receivable activities as assigned.

Process Improvement & Administrative Support

Respond to internal and external inquiries regarding invoices, payments, and account activity.
Assist with system implementations, upgrades, data validation, and cleanup projects.
Participate in process improvement initiatives to enhance efficiency and strengthen internal controls.
Develop and maintain departmental procedures, job aids, and process documentation.
Perform other accounting and administrative duties as assigned.

Qualifications

Associate degree in Accounting, Finance, Business, or a related field preferred; equivalent work experience will be considered.
1+ years of experience in accounts receivable, billing, cash application, or general accounting preferred.
Understanding of accounts receivable processes, billing, cash application, and invoice reconciliation.
Experience with ERP systems; Workday experience is preferred.
Proficiency with Microsoft Office, including Excel.
Strong analytical, organizational, and problem-solving skills.
Excellent attention to detail with a high degree of accuracy.
Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Strong written and verbal communication skills.
Ability to work independently as well as collaboratively within a team.

Pay: From $26.00 per hour
