What’s the Opportunity?
The Tax Administrative Assistant plays a critical support role within the Tax Department by assisting the Tax Administrative Director and department leadership with the coordination, tracking, and processing of tax engagements. This position ensures the smooth flow of tax return data, maintains organization across multiple workflows, and delivers a high level of service to both internal teams and external clients.
This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced public accounting environment.
What Will I Be Doing?
Tax Return Processing & Workflow Support
· Assist with the intake, organization, and tracking of client tax documents
· Assemble tax returns and tax documents for processing through internal workflow systems
· Monitor the status of tax returns and ensure deadlines are met
· Coordinate e-file processes, including assembling and reviewing required documentation
· Support extension processing and tracking
· Maintain accurate records of tax return statuses and client deliverables
Administrative & Operational Support
· Provide day-to-day support to the Tax Administrative Director
· Assist in managing tax season workflows, including routing work and tracking progress
· Update and maintain client information in tax and practice management systems
· Ensure compliance with firm processes, standards, and deadlines
· Assist in identifying and implementing process improvements to increase efficiency
Client Communication & Service
· Serve as a point of contact for clients regarding document requests, return status updates, and general inquiries
· Communicate professionally and clearly with clients via phone and email
· Assist in delivering completed tax returns and supporting documentation to clients
· Support client onboarding and document collection processes
· Communication with clients on a daily basis regarding information requests
Document Management
· Organize and maintain digital and physical client files
· Scan, upload, and index client documents in accordance with firm standards
· Ensure proper naming conventions and secure storage of sensitive information
· Assist with preparation and tracking of engagement letters
Other Responsibilities
- Renewing and monitoring all professional staff personal tax identification numbers
- Coordinating tax organizers and related supply preparations; creating, mailing, processing, scanning, validating and linking to tax returns and performing autoflow for tax returns
- Assist with serving as a backup on phones and front desk, when needed
- Other responsibilities as required
What Skill Are You Looking For?
· Previous experience in a public accounting firm or professional services environment
· Working knowledge of tax return processing and workflows, preferred
· Strong proficiency with Microsoft Office (Excel, Outlook, Word); experience with tax software and practice management systems preferred
· Comfortable interacting directly with clients in a professional setting
· Excellent written and verbal communication skills
· Highly organized with strong attention to detail
· Ability to manage multiple priorities and meet deadlines in a fast-paced environment
· Strong problem-solving skills and proactive mindset
· Team-oriented with a willingness to support others as needed

Pay: $60,000.00 - $80,000.00 per year
