Executive Administrator

Company: Premier Financial Group

Location: Eureka, CA

Position Type: Estimated 20 - 25 hours/week to start

Schedule: Flexible within business hours, ex: 8:30am – 2:30pm

On-Site, Non-Negotiable

Position Overview

The Executive Administrator provides high-level administrative and operational support to the CEO/CFO at Premier Financial Group. This role is critical in maintaining organization, communication, and efficiency across executive functions and client-facing operations.

The ideal candidate is proactive, detail-oriented, and highly organized. They have strong communication skills and the ability to maintain a high level of confidentiality, managing multiple priorities in a fast-paced environment. This position will begin part-time with the opportunity to transition into a full-time role based on the needs of the executive.

- Salary range $22 - $24 an hour based on experience and qualifications

- Merit annual bonus, based on performance and firm revenue

Key Responsibilities

- Executive & Administrative Support

- Provide direct support to CEO/CFO with daily administrative needs

- Manage complex calendaring, scheduling, and meeting coordination

- Draft, edit, and manage professional correspondence and communications

- Assist with email management and prioritization

- Client & Communication Support

- Serve as a point of contact for client interactions and inquiries

- Assist in drafting client communications and follow-up materials

- Support prospective client tracking and relationship management

Operations & Project Management

- Manage and track tasks and workflows

- Assist with internal project coordination and execution

- Maintain organization across systems, files, and processes

- Technology & Systems Support

- Perform data entry and reporting in Excel and other platforms

- Assist with laptop/mobile setup and basic tech coordination

- Utilize Microsoft Office Suite (Outlook, Word, Excel, Teams) for daily operations

Marketing & Social Media

- Support social media management

- Assist with light marketing initiatives and content coordination

Qualifications & Skills

- 3+ years of administrative or executive support experience

- 3+ years of customer service or client-facing experience

- Strong proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams)

- Experience with task and project management systems (Asana preferred)

- Excellent written and verbal communication skills

- Highly organized with strong attention to detail

- Strong time management skills with the ability to prioritize competing demands and meet deadlines

- Demonstrates strong emotional intelligence and professionalism, contributing to a positive team environment

- Self-motivated with the ability to work both independently and collaboratively

- Strong problem-solving and critical thinking abilities

- High level of discretion and ability to handle confidential information

- Proactive mindset with the ability to anticipate needs and take initiative

- Strong interpersonal skills with the ability to build positive, collaborative relationships across teams

- Basic data management and reporting skills (Excel or CRM systems)

- Experience supporting senior leadership or executives (preferred)

- Ability to streamline processes and improve operational efficiency

- Highly coachable with a growth mindset; actively seeks feedback, adapts quickly, and implements improvements with minimal oversight

Preferred (Not Required)

- Experience in financial services

- Social media and/or marketing experience

Pay: $22.00 - $24.00 per hour
