JOB TITLE: Intake Coordinator

REPORTS TO: Manager of Intake

POSITION SUMMARY: The Intake Coordinator serves as the primary patient-facing representative responsible for onboarding patients referred for specialty pharmacy or infusion services. This role conducts Welcome Calls, completes demographic data entry, coordinates prescription reviews with the Pharmacy Department, and collaborates with Business Development to ensure complete referral documentation. The Intake Coordinator guides active patients through insurance and therapy changes, conducts Insurance Findings Discussions to communicate financial responsibilities and assistance options, and facilitates Advance Beneficiary Notice (ABN) discussions when Medicare coverage is uncertain. This position partners cross-functionally with the Pharmacy, Patient Collections, Financial Services, and Business Development Departments, as well as a third-party revenue cycle management partner, to support timely therapy initiation and ensure accurate documentation of all communications, authorizations, and care coordination activities.

TYPICAL PHYSICAL DEMANDS: May sit, stand, stoop, bend, and walk intermittently during the day. May sit or stand seven (7) to ten (10) hours per day. Extended hours may be required as needed. Manual finger dexterity is needed for calculator and keyboard use. Proficiency in software, hardware, and networks, along with critical thinking and problem-solving skills is essential. Strong interpersonal and communication skills are required.

QUALIFICATIONS:

High school diploma or GED
General office experience
Prior experience in a healthcare facility and Intake functions
Ability to multitask and prioritize, excellent time management skills

RESPONSIBILITIES:

Serve as the primary point of contact for patients referred for specialty pharmacy or infusion services and for Pharmacy staff when active patients undergo a change of insurance or therapy, providing timely communication regarding referral status, authorization status, therapy coordination, and next steps.
Coordinate new referral, new insurance, and change of therapy activities by collaborating with the patient, Pharmacy, Patient Collections, Financial Services, Business Development, and third-party revenue cycle management partner to ensure timely eligibility verification, benefit investigation, financial review, and authorization procurement.
Conduct and document Welcome Calls to verify demographic information, confirm therapy details, and obtain therapy history; ensure accurate demographic data entry within the EMR in accordance with procedure.
Review and maintain patient records to ensure all documentation required for benefit investigation, prior authorization, and therapy initiation is present, complete, and accurately reflected in the patient record.
Monitor benefit investigation and authorization status through frequent record review and ongoing communication with BioTek's third-party revenue cycle management partner; keep patients informed of status and any associated delays.
Conduct and document Insurance Findings Discussions (IFDs) to communicate coverage determinations, financial responsibility, copayments, coinsurance, deductibles, and estimated out-of-pocket costs; connect patients with Patient Collections or Financial Services as appropriate.
Facilitate Advance Beneficiary Notice (ABN) discussions and documentation with Medicare beneficiaries when coverage is uncertain; escalate complex insurance or financial issues to appropriate departments, including leadership or compliance when necessary.
Notify the Pharmacy Department when a patient is cleared to initiate, resume, or transfer therapy; ensure all communications, authorizations, and care coordination activities are accurately documented.
Maintain patient confidentiality in accordance with HIPAA and BioTek's privacy policies; ensure compliance with payer requirements and applicable federal and state healthcare regulations in all patient-facing communications.
Participate in required training, departmental meetings, and process improvement initiatives; perform additional administrative or operational duties as assigned.
