Key Responsibilities

Manage executive calendars, scheduling, and meeting coordination
Prepare reports, presentations, and professional correspondence
Handle confidential information with a high level of discretion
Coordinate travel arrangements and detailed itineraries
Serve as a liaison between leadership and internal/external stakeholders
Assist with HR-related tasks, including interview scheduling and employee record maintenance
Support finance-related activities such as expense tracking and invoice processing
Coordinate company events, meetings, and team activities
Identify opportunities to improve processes and implement organizational systems
Help maintain an efficient, organized, and welcoming office environment

Qualifications

3+ years of experience in an administrative, executive assistant, office management, or similar role
Experience working in a small company or entrepreneurial environment preferred
Strong organizational and time management skills
Excellent written and verbal communication abilities
High level of professionalism and discretion
Proficiency with Microsoft Office, Google Workspace, and scheduling tools
Ability to prioritize multiple responsibilities and adapt in a fast-paced setting
Resourceful, proactive, and solutions-oriented

Preferred Experience

Exposure to HR processes, onboarding, or employee coordination
Basic bookkeeping or finance support experience
Experience supporting projects and managing timelines
Strong attention to detail and a commitment to operational excellence
