Full Job Description

Primary Purpose

The Payroll Accounting Specialist handles payroll processing, ensures compliance with tax regulations, maintains accurate financial records, and supports accounting operations.

Major Responsibilities

Review timesheets, time off requests/approvals and process payroll for weekly and semi-monthly paid employees through UKG Pro (Workforce Management)

Ensures compliance with multi-state payroll tax regulations

Reviews the computation of pay and associated deductions for accuracy

Maintains up-to-date knowledge of city, sate, provincial, local and federal legislation affecting payroll; understands and follows applicable provisions

Preparation of required tax filings and other reporting

Preparation of W-2 forms, tax filings for federal withholdings, unemployment taxes, etc.

Supervises or compiles, calculates, and posts payroll data to payroll records

May coordinate payroll processing with an outside service provider

Responds to and resolves any inquiries regarding paychecks or payroll reporting

Investigates and reconciles errors; approves adjustments

Monitors the effectiveness of systems, policies and procedures and makes appropriate recommendations to ensure daily operations are efficient; implements approved changes

Handles unusual or difficult inquiries; situations through direct personal action or refers to the appropriate individual

Ensures payroll issues are escalated and resolved promptly

Exercise discretion in managing company proprietary information

Supports the Finance department with administrative tasks and GL changes

Understands and demonstrates Medco’s core values

Perform other duties as assigned

Education Required:

Bachelor’s Degree or equivalent work experience required

Experience/Skills Required;

Proficiency in Microsoft Office 365 including Word, Outlook/Email, Excel (minimum of intermediate level), speed and accuracy with the keyboard
Ability to set priorities that meet ever changing needs of the business; can multitask in a fast paced, challenging environment

Excellent interpersonal skills, ability to interface with all levels of management

Basic understanding of office administrative procedures and etiquette

Excellent communication skills (Verbal / Writing)

Experience in payroll process for a multi-state organization

Experience processing payroll in UKG Pro (Workforce Management)

Knowledge for multi-state tax guidelines and compliance requirements

Ability to work effectively and efficiently in a remote or hybrid environment
