Shift: Rotating. This role is best suited for individuals who can maintain a consistent schedule and are comfortable with occasional evening and weekend availability.

Job Summary:
The Associate Admissions Coordinator provides operational and administrative support to the Admissions team, ensuring accurate data management, reporting, and workflow efficiency throughout the admissions process. This role is responsible for maintaining prospective student records, supporting application processing, and assisting with inbound communication as needed.
While primarily a behind-the-scenes function, the Admissions Coordinator may assist with student inquiries through phone, email, or chat and is expected to provide timely and professional responses when supporting incoming communication.

Completes certification process and associated training to develop concrete admissions knowledge.

This role operates on a rotating schedule designed to support student needs throughout the week:

Monday–Thursday: Typically, 9:00 AM – 6:00 PM, with one late shift per week (10:00 AM – 7:00 PM)

Friday: 8:30 AM – 5:30 PM or 9:00 AM – 6:00 PM, based on coverage needs

Occasional weekend availability may be required during key enrollment periods

Maintain and update prospective student records within Anthology (CRM), ensuring data accuracy and completeness.

Generate daily, weekly, and monthly reports to support Admissions performance and tracking.

Support application processing and ensure all required documentation is complete and compliant.

Assist the Admissions team with data entry, workflow management, and administrative tasks.

Monitor and respond to inbound calls, emails, and inquiries, ensuring a high level of responsiveness (target 99% response rate).

Provide general information and support to prospective students as needed during inbound interactions.

Collaborate withAdmissions,Financial, and other departments to ensure smooth information flow.

Support campus events, orientations, and admissions-related activities as needed.

Maintain compliance with institutional policies, as well as state and federal regulations.

Uphold professional communication standards and organizational expectations in all interactions.
Desired Skills:

Minimum of 2–3 years of experience in customer service, administrative support, data entry, or office coordination.

Strong written and verbal communication skills, including professional phone presence.

Ability to manage multiple tasks and priorities in a fast-paced, detail-oriented environment.

High level of accuracy and attention to detail, particularly when working with data and documentation.

Comfortable working in systems and maintaining data within a CRM (experience with Anthology or similar platforms preferred).

Strong organizational and time management skills.

Ability to work independently while also supporting a team environment.

Reliable and responsive in handling inbound communication, including phone and email inquiries.

General computer proficiency, including Microsoft Office and data entry systems.

During peak enrollment periods, may need to briefly log in outside standard hours to ensure timely completion of student documentation.

Ability to Work Remotely: Remote employees must work from their designated home office and ensure secure access to company systems using a company-approved VPN and multi-factor authentication (MFA). A stable, high-speed Wi-Fi connection is required; mobile hotspots or other unreliable internet sources are not permitted due to security and connectivity concerns. Company-issued devices must be locked when not in use, and any personal devices used for work must comply with company security protocols.
Work Schedules: Ogle School supports a variety of alternate work schedules that provide additional flexibility. For this role, there is a minimum 40-work week schedule, 5 days a week. The specific weekly schedule will be discussed during the hiring process.
