Full Job Description

Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and enhance overall productivity. The ideal candidate will bring enthusiasm, excellent communication skills, and a proactive approach to managing a busy office environment. Whether handling front desk duties, coordinating schedules, or managing data entry tasks, you’ll be the backbone that keeps our office running smoothly and efficiently.

Duties

Greet visitors and manage front desk responsibilities with professionalism and warmth
Answer multi-line phone systems promptly and direct calls accurately using proper phone etiquette
Manage calendar appointments, schedule meetings, and coordinate events with strong organizational skills
Perform data entry and maintain accurate records using productivity software such as Microsoft Office and Google Workspace
Handle filing, document proofreading, and ensure all administrative paperwork is completed accurately and timely
Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
Provide excellent customer service by supporting clients, vendors, and internal teams with their inquiries and requests
Assist with office management tasks including supply inventory, equipment maintenance, and general clerical support

Qualifications

Proven office experience with strong computer literacy across Microsoft Office Suite, Google Workspace, and other productivity tools
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Strong typing skills along with data entry accuracy and attention to detail
Experience in customer service roles such as front desk or medical/dental receptionist is highly desirable
Bilingual abilities are a plus to support diverse client needs
Familiarity with office management procedures including filing systems, calendar management, and phone etiquette
Technical proficiency in office equipment such as multi-line phone systems, printers, and basic troubleshooting skills
Previous experience in administrative roles or personal assistant positions is advantageous for success in this role
