Front Office Representative / Patient Services Specialist
Indiana Polyclinic is seeking a dependable, patient-focused Front Office Representative to join our multi-disciplinary outpatient healthcare practice located in Carmel (north Indianapolis), Indiana.
This is a full-time position working Monday through Thursday, ~ 7:45 AM – 6:30 PM, offering a consistent four-day work week and the opportunity to become an integral member of a collaborative healthcare team.
Our clinic provides specialized services in Interventional Pain Medicine, Psychiatry, Psychology, and Occupational Therapy, serving a diverse patient population. The Front Office Representative plays a critical role in creating a positive patient experience while ensuring efficient clinic operations.
Position Summary
The successful candidate will serve as a key member of our Patient Services and Accounts Team, responsible for patient reception, scheduling, registration, insurance and account-related processes, and administrative support. This position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced medical environment.
Primary Responsibilities
- Welcome patients, visitors, and vendors in a professional and courteous manner.
- Answer incoming telephone calls and provide information consistent with clinic policies and procedures.
- Check patients in and out of the electronic medical record system.
- Schedule and coordinate patient appointments, including complex treatment plans involving multiple visits and providers.
- Verify and update patient demographic and registration information.
- Inform patients of required forms, documentation, and preparation instructions prior to appointments.
- Collect patient financial responsibilities, including co-pays, co-insurance, deductibles, and outstanding account balances.
- Maintain accurate patient records through data entry and electronic medical record documentation.
- Perform general administrative duties including scanning, faxing, copying, filing, and word processing.
- Direct patients and visitors to the appropriate department or staff member.
- Maintain organized reception, waiting, and front office areas.
- Adhere to all clinic policies regarding confidentiality, HIPAA compliance, safety, and security.
- Deliver exceptional customer service while maintaining professionalism and compassion in all patient interactions.
QualificationsRequired
- High school diploma or equivalent.
- Strong computer skills and proficiency with electronic medical record systems.
- Excellent communication and customer service skills.
- Ability to multitask and work efficiently in a busy healthcare environment.
- Strong attention to detail and organizational skills.
- Dependable attendance, punctuality, and effective time management.
- Ability to maintain patient confidentiality and comply with HIPAA regulations.
Preferred but not required:
- Previous experience in a medical office, healthcare setting, or patient registration environment.
- Experience with patient scheduling, insurance verification, medical billing, or patient account collections.
- Familiarity with electronic medical records and healthcare practice management software.
