Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and enhance overall productivity. As an energetic and proactive member of our organization, you will be the backbone of efficient office management, ensuring smooth communication and seamless coordination across departments. Your expertise in office software, excellent customer service skills, and ability to handle multiple tasks with precision will drive our success forward. Duties

Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Perform data entry tasks accurately using spreadsheets, word processing, and productivity software such as Microsoft Office and Google Workspace
Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents and records
Coordinate calendar management and schedule appointments for staff and clients, optimizing time management
Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial recordkeeping
Provide exceptional customer support by responding promptly to inquiries via phone or email and assisting with client communication
Support office management tasks such as ordering supplies, managing office equipment, and maintaining a clean, organized workspace

Qualifications

Proven clerical experience or office experience demonstrating strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
Familiarity with QuickBooks or other bookkeeping software is highly desirable
Excellent computer literacy with the ability to adapt quickly to new technical tools and software platforms
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Exceptional communication skills, including phone communication and client interaction; bilingual abilities are a plus
Experience with front desk duties such as multi-line phone systems, filing, proofreading, and calendar management
Knowledge of office management best practices along with technical proficiency in productivity software and spreadsheets
Personal assistant or medical/dental receptionist experience is advantageous but not required
