Job Summary
- Under the supervision of the Relocation Director, receives and assigns incoming referrals and corporate listings. Coordinates closing with agents and with the accounting department as fees are submitted.
Organizational Relationships
- Reports to: Relocation Director
- Other: Works closely with employees, agents, management staff and the general public.
- Hours: 8:00 am - 5:00 pm Monday through Friday with a one hour lunch daily.
Essential Functions
- Receive incoming referral information from all Relocation Companies and brokers.
- Call clients/transferees and discuss wants, needs, and scheduling. Assign the referral to an appropriately trained /eligible agent. Request Relocation Packets or other information as needed.
- Coordinate internal and external paperwork for all referrals as required by the referral company.
- Document all communication to and from all clients in the appropriate file and in the Company database.
- Monitor Cartus Broker Center for new referrals and enter updates as needed.
- Provide back up support to the front desk as needed.
- Make Relocation packets as needed.
- Ensure that all vacant Corporate owned properties are scheduled for winterization and de-winterization, lawn care and snow removal, and utility transfers as necessary.
- Coordinate community tours for local QC Companies.
- Other duties as assigned.
Required Knowledge, Skills, and Abilities
- Knowledge of: general office practices, real estate terminology, spelling and customer service.
- Skill/Ability to: prepare records, reports, and correspondence neatly and professionally; operate a variety of office machines including telephone, fax, copier, printer, and computer using standard word processing, spreadsheet, and data entry software (Microsoft Office products and real estate programs); use the Internet for research; type accurately at a speed of at least 40 words per minute; maintain files accurately; multi-task; be patient and flexible and adjust to changing priorities; manage stress in a fast-paced environment; and establish and maintain effective working relationships with co-workers, agents, and the general public. Professional and friendly phone voice. Knowledgeable on e-mail etiquette and sentence structure.

Physical Demands
- Sit, stand, walk and move about the office regularly.
- Occasionally climb stairs, balance, stoop, kneel, crouch, or crawl.
- Talk and hear both in person and on the telephone.
- Use hands and fingers to manipulate or maneuver objects, tools, or controls and reach with hands and arms to type, write, and use the computer and telephone system.
- Read reports and use the computer on a regular basis.
- Occasionally lift and/or move up to 25
- pounds.
Minimum Qualifications
- High school diploma or equivalent.
- One year related experience in an office environment or customer service experience.
- Intermediate computer skills.
