Air International Operations Coordinator (Air Freight Focus)

Role Summary
The Air International Operations Coordinator is responsible for executing compliant, on-time international air freight shipments end-to-end. This role coordinates booking, documentation, vendor/broker communication, and customer updates—preventing delays, fines, and service failures while protecting customer experience, cost, and operational reliability.
Key Responsibilities
- Coordinate and process international air export shipments from A–Z
- Obtain spot rates for air freight and trucking; quote customers and support routing decisions
- Book shipments with airlines and truckers; arrange pickup/delivery trucking as needed
- Prepare and validate required documentation (e.g., AWB details, commercial invoice, packing list, COO, etc.)
- File AES/EEI and ensure export compliance requirements are met
- Create shipper’s interest insurance policies when required
- Track shipments proactively, identify risks early, and drive timely resolution of exceptions
- Provide clear, proactive customer updates and set expectations throughout the shipment lifecycle
- Ensure accurate shipment data and costing in CargoWise; provide updates within 24 hours of any shipment status change
- Invoice customers and submit AP documentation to Accounting
- Coordinate with customs brokers to support timely clearance; follow up on holds and escalate when needed
- Assist with pricing negotiations, contract management, and carrier sales activities to optimize cost and service quality
- Maintain audit-ready shipment files and clean operational records
Performance Expectations / Outcomes
- High on-time execution across booking, cutoffs, departure/arrival, and final delivery
- Zero (or minimal) documentation/compliance errors that cause delays, penalties, or holds
- Timely and professional customer communication; fast closure of exceptions
- Accurate, up-to-date CargoWise shipment data and costing
Required Skills & Competencies
- Strong international air freight execution skills (booking, tracking, documentation, and delivery coordination)
- Trade compliance and documentation discipline, including familiarity with:
- IAC
- CNA/IATA
- DG
- AES/EEI (and related export documentation requirements)
- Excellent customer service and communication (clear, proactive, solutions-oriented)
- High attention to detail; ability to manage multiple shipments simultaneously in a fast-paced environment
- Strong coordination skills across customers, carriers, global agents, and brokers
- Comfortable working in transportation systems (CargoWise experience strongly preferred)
