Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team (Vice President of Operations and Accounting Manager). The ideal candidate will possess exceptional multitasking abilities and a keen attention to detail, ensuring that all tasks are completed efficiently and effectively. This role requires strong communication skills, both written and verbal, as well as proficiency in various office software and tools. As the Executive Assistant, you will play a critical role in enabling our operational leadership to stay focused, organized, and strategically aligned. This is a fast-paced and highly visible role that requires discretion, tech-savviness, and a deep understanding of startup business environments. This in-office position offers a unique opportunity for someone familiar or who wants to become familiar with business within multiple departments.
Duties
- Support Operations and Leadership roles in fast-paced environments.
- Anticipate needs of the present leadership and act proactively to support them in workflow situations.
- Support the leadership's presence at meetings and events by working with team.
- Track, Prioritize, and help execute key operations initiatives, internal, and external projects.
- Manage complex scheduling and calendar coordination across time zones.
- Handle sensitive communications, including internal and external stakeholder correspondence.
- Prepare executive-level materials: reports, dashboards, slide decks, meeting briefs.
- Create documents and forms.
- Occasionally Act as project liaison for cross-functional teams (sales, product, customer, success, service, controls, engineering, warehouse).
- Coordinate recurring meetings; keep detailed notes.
- Answer phone calls, take messages, and direct accordingly.
- Maintain organization across shared documents, SOPs, and internal tools.
- Assist with performance tracking, hiring coordination, and onboarding for all teams.
- Coordinate freight for Projects and Service.
- Assist other teams including but not limited to: Management, Warehouse (Inventory), Projects, Sales, and Service.
- Assist in event planning and project coordination to ensure successful execution of company initiatives.
- Maintain office management tasks such as filing, data entry, and clerical duties to support daily operations.
- Handle phone etiquette with professionalism while managing multi-line phone systems and responding to inquiries.
- Utilize Microsoft Office Suite for document creation, proofreading, transcription, and data management.
- Serve as a personal assistant by prioritizing tasks effectively and maintaining confidentiality in all interactions.
- Support customer service efforts by addressing client needs promptly and courteously.
Experience
- Proven administrative experience in an office environment is required; previous experience as an Executive Assistant or Personal Assistant is preferred.
- Strong organizational skills with the ability to manage multiple priorities simultaneously while meeting deadlines.
- Proficiency in Microsoft Outlook Calendar for scheduling and managing appointments efficiently.
- Familiarity with DocuSign for document management is advantageous.
- Excellent typing skills with attention to detail for accurate data entry and documentation.

Success Factors:
3+ years of experience as Executive Assistant, or in Project Management, preferably in construction or related industry.
Communication; over communication!
Comfortable interfacing with cross-functional teams and senior stakeholders.

Proactive, adaptable, and resourceful – thrives on solving problems before they arise.
Highly organized, detail-oriented, and capable of managing multiple moving pieces.
Associates or Bachelor’s degree required, preferably in business, or project management.
Computer skills with strong proficiency in MS Excel, Word, Outlook, Teams, Odoo, Quickbooks Online, Trello, and Adobe.
Process and detail oriented with ability to meet deadlines.
Results-oriented with a problem-solving mentality.
Customer service minded with ability to effectively communicate with clients and team members.
