Patient Care Coordinator

THE ROLE

As a Patient Care Coordinator, you are the operational hub of the clinic. Your work directly impacts therapist efficiency, patient outcomes, and clinic performance.

This is a high-volume, detail-critical role for someone who enjoys:

Accuracy over approximation
Clear processes and daily priorities
Managing multiple moving pieces at once
Taking initiative instead of waiting to be told

You will be responsible for accurate data entry, scheduling, insurance verification, patient communication, and daily administrative operations that keep the clinic running at peak efficiency.

WHAT YOU’LL BE RESPONSIBLE FOR

Scheduling & Operations

Schedule patient appointments accurately and efficiently using EMR systems
Proactively manage cancellations and aggressively reschedule to protect patient progress and clinic productivity
Monitor daily schedules and identify gaps, conflicts, or inefficiencies
Generate daily scheduling and cancellation reports to identify trends and improvement opportunities

Accuracy & Compliance

Enter and maintain precise patient, insurance, and provider data
Verify insurance details and collect co-pays accurately
Ensure documentation supports insurance reimbursement and compliance

Patient & Team Communication

Communicate clearly and confidently with patients, therapists, and leadership
Resolve scheduling and billing questions promptly and professionally
Maintain a calm, solutions-focused approach in a fast-moving environment

Clinic Environment & Support

Maintain a clean, organized, and professional front office and lobby
Support daily clinic operations including deliveries, linens, and facility readiness

EDUCATION AND EXPERIENCE

● A high school diploma or equivalent is required.

● An associate's degree in a relevant field such as healthcare administration, or business administration is preferred but not always required

● At least two years of experience in clerical/office support work is desired, particularly in a healthcare setting

● Experience in medical scheduling with a high volume patient care healthcare facility is highly advantageous

● Familiarity with scheduling software, electronic health record systems, and Microsoft Office Suite or similar software is beneficial

PHYSICAL REQUIREMENTS

● The ability to sit for extended periods at a desk while performing billing tasks, entering data, and managing paperwork

● Occasionally lifting objects weighing up to 15 pounds, such as files, paperwork, or office supplies

● Proficiency in working on a computer, including typing, data entry, and using scheduling software or electronic health record systems

● Some mobility may be required within the office environment, such as moving between workstations or accessing filing cabinets

● The ability to use hands and fingers to operate a computer keyboard, mouse, and other office equipment accurately and efficiently
