POSITION DESCRIPTION

Title: Administrative Assistant for the Conference

Schedule: 35 hours per week

Work Arrangement: Hybrid (in-office presence required as determined by supervisor)

FLSA Status: Non-Exempt

ACA Classification: Regular Full-Time

Supervisor: Associate Director of Administrative Services

The Conference Administrative Assistant is a central role on our administrative team, providing high-level support to multiple directors at our Conference Center in Carmel. You will be the person who anticipates what's needed before it's asked, keeps communications and calendars running smoothly, and serves as a professional, welcoming point of contact for church staff, clergy, and ministry partners across Indiana.

You don't need to be United Methodist — but the work should feel meaningful to you.

Position Summary

The Conference Administrative Assistant provides high-level administrative support to multiple directors within the Indiana Conference Center, with primary supervision from the Associate Director of Administrative Services. This position plays a central role in the planning, coordination, and execution of tasks, meetings, and events, and requires exceptional multitasking ability, keen attention to detail, and a professional demeanor in all interactions. The successful candidate will thrive in a collaborative environment while managing competing priorities across multiple leaders.

Essential Functions

Provide comprehensive administrative support to multiple directors, anticipating needs and proactively managing schedules, communications, and priorities.
Answer and direct multi-line phone systems with professionalism; screen and route calls, take detailed messages, and respond to general inquiries.
Maintain and oversee daily appointment calendars, ensuring all meetings and events are accurately noted, with detailed information and preparation.
Prepare and distribute materials such as agendas, reports, and presentations in support of director-led meetings and initiatives.
Organize and maintain files related to correspondence, meeting minutes, and other documents.
Maintain accurate databases, contact lists, and program records.
Ensure compliance with records retention policies and confidentiality standards.
Assist the Associate Director of Administrative Services and the Administrative Team at the Annual Conference.
Respond to inquiries from church staff, clergy, and internal team members regarding conference programs, events, and administrative processes.
Attend meetings or events as directed by the Associate Director of Administrative Services.
Partner with other Conference Assistants on joint projects, ensuring seamless execution and support.

Supervisory Responsibilities

None.

Other Duties

Assist at the Annual Conference Session or other off-site events as requested by supervisor.
Assist Administrative team members with tasks as requested by the supervisor.

Education & Experience

A bachelor's degree or equivalent from an accredited institution is preferred. Equivalent work experience will be considered in lieu of a degree.
A minimum of 2 years performing duties of a like nature, or in a position where skills and experience are deemed transferable.

Work Environment & Travel

This position's duties are performed in a professional office environment using standard equipment including computers, phones, photocopiers, scanners, and physical and electronic filing systems. In-office attendance at the Indiana Conference Center in Carmel, Indiana is required as determined by the supervisor. Occasional in-state travel may be required for the Annual Conference Session and other off-site events.

Salary & Benefits

$22–$25 hourly, commensurate with experience and demonstrated proficiency. 35 hours per week.
