Full Job Description

Position Overview

Supports the Commercial Property Manager in overseeing multiple commercial properties (office, retail, industrial)
Provides administrative, operational, and tenant‑service support
Coordinates vendors, maintenance, scheduling, correspondence, and property showings

Key Responsibilities

Property Operations

Assist with daily property operations and routine inspections
Schedule and track maintenance and preventative service work
Respond to tenant service requests and document follow‑up
Support compliance with safety standards and regulations

Tenant Relations & Leasing Support

Serve as first point of contact for tenant inquiries
Coordinate and conduct property showings
Assist with lease documents, renewals, and tenant correspondence
Maintain accurate tenant records and communication logs

Vendor Coordination

Schedule vendors for repairs, maintenance, and contracted services
Track vendor performance and ensure timely completion of work
Maintain vendor files, COIs, W‑9s, and compliance documentation

Financial & Administrative Support

Enter invoices and assist with accounts payable/receivable
Support rent collection and follow‑up on outstanding balances
Assist with budget preparation and financial reporting tasks
Maintain organized property files and documentation

Correspondence & Communication

Draft tenant notices, vendor updates, and general communications
Prepare reports and updates for management
Ensure timely, professional communication across all stakeholders

Qualifications

1–3 years of experience in property management, real estate, or administrative support
Strong communication, organization, and multitasking skills
Experience scheduling vendors and coordinating maintenance
Proficiency with property management or CRM software (AppFolio, Yardi, etc.)
Basic understanding of commercial leases preferred
