Job Summary

We are seeking a dynamic and detail-oriented Accounts Payable Clerk/Administrative Assistant to join our finance team. In this pivotal role, you will manage the company's accounts payable processes, ensuring timely and accurate payments while supporting various administrative functions. Your expertise in accounting systems, financial software, and data entry will contribute to maintaining smooth financial operations and organizational efficiency. This position offers an exciting opportunity to develop your accounting and administrative skills within a collaborative and growth-focused environment.

Duties

Process and verify invoices, expense reports, and purchase orders using financial software such as Workday, SAP, or QuickBooks
Reconcile vendor statements and resolve discrepancies promptly to ensure accurate accounts payable records
Prepare journal entries related to accounts payable transactions, including debits & credits, ensuring compliance with GAAP standards
Maintain organized records of all financial transactions, supporting audit readiness and internal controls such as SOX compliance
Assist with accounts receivable management, including invoice generation and payment follow-up
Support payroll management tasks using systems like ADP, Kronos, or UltiPro, including data entry and benefits administration
Perform general administrative duties such as data entry, filing, scheduling meetings, and supporting HRIS systems for employee information management

Skills

Strong understanding of accounting principles including GAAP and double-entry bookkeeping practices
Proficiency with financial software such as Workday, Paychex, Sage, PeopleSoft, Ceridian, or similar platforms
Advanced Excel skills including formulas (VLOOKUP), data analysis techniques, and pivot tables for reporting purposes
Experience with accounts payable processes, account reconciliation, journal entries, and general ledger accounting
Knowledge of payroll systems like ADP or Kronos along with benefits administration procedures
Familiarity with public accounting standards and governmental accounting practices is a plus
Excellent analysis skills to interpret financial data accurately and identify discrepancies or anomalies
Strong organizational skills with attention to detail in data entry and recordkeeping tasks
Ability to adapt quickly to new accounting systems and software updates while maintaining compliance with internal controls such as SOX regulations
