Full Job Description

Job Summary

We are seeking a dynamic and highly organized Accountant/Office Manager to oversee the daily operations of our finance and administrative departments in the Landscaping industry & construction. This role is vital in ensuring accurate financial record-keeping, efficient office management, and seamless communication across teams. The ideal candidate will bring a proactive approach to managing accounting functions, supervising staff, and maintaining a productive work environment. Join us to lead our office team with enthusiasm, precision, and a commitment to excellence!

Responsibilities

Manage all accounting activities including bookkeeping, payroll processing, budgeting, and financial reporting using accounting software such as QuickBooks, Copilot, AI products, and other financial tools.
Supervise administrative staff, providing guidance on clerical tasks, office procedures, and customer service standards.
Oversee vendor management processes, including invoicing, payments, and contract negotiations to ensure timely and accurate transactions.
Coordinate schedule management for the office team, including calendar oversight, meeting arrangements, and event planning.
Handle human resources functions such as onboarding new employees, maintaining confidential personnel records, and supporting training & development initiatives.
Ensure compliance with office policies and procedures while handling confidential information with integrity.
Maintain organized filing systems (both digital and physical), manage phone line systems, and oversee front desk operations including greeting visitors and managing phone etiquette.
Support office management tasks such as supply procurement, facility maintenance coordination, and implementing process improvements for efficiency.
Support the operations manager with project management task, such as: managing the projects costs, billing and taking detailed notes for future projects.
Coordinate future AI products that will help the company be more productive and efficient overall.
Create business templates, business proposals, estimates, help create business plans and more.

Skills

Proven experience in accounting and finance roles with strong proficiency in accounting software like QuickBooks and other financial tools.
Demonstrated supervisory experience with the ability to lead teams effectively while fostering a collaborative environment.
Excellent organizational skills with the ability to manage schedules, prioritize tasks, and handle multiple responsibilities simultaneously.
Strong communication skills for client interactions, vendor negotiations, and team coordination.
Proficiency in Microsoft Office Suite including spreadsheets for budgeting, data analysis, and reporting purposes.
Experienced with Apple Mac products: Sheets, pages, iCloud.
Experience in office management duties such as filing systems, front desk operations, multi-line phone systems, and calendar management.
Knowledge of human resources processes including payroll administration, onboarding procedures, and confidentiality handling.
Ability to adapt quickly to new technologies related to accounting software or office automation tools.
Experience with new developing technology, AI products, self serving apps etc.
Experience in working with multiple clients under pressure, while still keeping up with deadlines.
Exceptional attention to detail combined with problem-solving skills to ensure accuracy in financial records and administrative functions.
English/Spanish bilingual is a HUGE PLUS!
