Job Overview

Mindcore Technologies is a rapidly growing Managed IT Services and Cybersecurity company providing technology solutions to businesses throughout the United States. We pride ourselves on delivering exceptional customer service while fostering a culture built on accountability, innovation, teamwork, and continuous improvement.

We're looking for an experienced, detail-oriented Bookkeeper to join our finance team and work alongside our Senior Bookkeeper. This is an excellent opportunity for someone who enjoys taking ownership, improving processes, and contributing to a growing technology company.

Duties

Client Billing & Revenue Management
Prepare and process monthly recurring client invoices using ConnectWise Manage and QuickBooks Online.
Review recurring agreements, contracts, project work, billable time, and expenses to ensure accurate invoicing.
Reconcile labor, service items, recurring agreements, and project charges before invoices are finalized.
Ensure all billable work is captured accurately and invoiced timely.
Coordinate with Service Managers, Project Managers, and Account Managers to resolve billing discrepancies.
Respond to client billing questions professionally and promptly.
Assist with recurring agreement updates, contract changes, and pricing adjustments.

Accounts Receivable

Monitor customer accounts for outstanding balances.
Apply customer payments accurately.
Follow up on overdue invoices and manage collections professionally.
Generate and review weekly Accounts Receivable aging reports.
Escalate delinquent accounts when necessary.

Accounts Payable

Process vendor invoices accurately and on time.
Verify approvals, payment terms, and general ledger coding.
Reconcile vendor statements.
Process ACH, wire, credit card, and check payments.
Maintain accurate vendor records, including W-9 documentation.

Bookkeeping & Accounting

Maintain the General Ledger in QuickBooks Online.
Prepare journal entries and account reconciliations.
Assist with month-end closing procedures.
Maintain accurate financial records and supporting documentation.
Prepare financial reports for management as requested.
Assist with year-end tax preparation and external CPA requests.

Cash Flow Management

Monitor daily cash balances.
Prepare weekly and monthly cash flow reports and forecasts.
Assist leadership in optimizing timing of receivables and payables.
Identify potential cash flow concerns before they become issues.

Bank & Credit Card Reconciliations

Reconcile company bank accounts.
Review AI-prepared credit card reconciliations prior to final approval.
Investigate and resolve discrepancies promptly.

Financial Compliance

Maintain organized digital financial records.
Assist with sales tax filings.
Prepare annual 1099 reporting.
Ensure compliance with company policies and generally accepted accounting principles (GAAP).
Maintain confidentiality of all financial information.

Skills

QuickBooks Online

Experience with accounting automation or AI-powered bookkeeping tools is a plus.

Qualifications

Required

7+ years of bookkeeping or accounting experience.
Strong proficiency with QuickBooks Online.
Solid understanding of bookkeeping and accounting principles.
Intermediate to advanced Microsoft Excel skills.
Excellent organizational, communication, and time management skills.
Exceptional attention to detail and accuracy.
Ability to manage multiple priorities in a fast-paced environment.
High level of professionalism, integrity, and confidentiality.

Preferred

Hands-on experience using ConnectWise Manage within a Managed Service Provider (MSP).
Experience managing recurring monthly billing and service agreements.
Experience supporting month-end close.
Associate's or Bachelor's degree in Accounting, Finance, or related field (or equivalent experience).
Experience integrating ConnectWise Manage with QuickBooks Online.
Ability to demonstrate ConnectWise billing and accounting proficiency during the interview process.
