Full Job Description

Our client is seeking an experienced Interim Bookkeeper to oversee the organization's daily bookkeeping and accounting functions during a leadership transition. This position is expected to maintain continuity in the organization's financial operations while supporting the Director of Operations, external CPA, auditors, and funding partners. The duration of this assignment will be determined based on organizational needs and the implementation of the organization's long-term finance structure.

The ideal candidate has nonprofit accounting experience, is highly organized, proactive, and thrives in a collaborative environment. This position requires exceptional attention to detail, sound judgment and the ability to manage multiple priorities while maintaining confidentiality and financial integrity.

· AA degree in Accounting, Finance or related field (Bachelor's preferred).

· Minimum 3–5 years of bookkeeping or accounting experience.

· Minimum 2 years of nonprofit accounting experience required.

· Advanced proficiency in QuickBooks Online.

· Strong Microsoft Excel skills, including formulas and data analysis.

· Experience with Microsoft Office 365, SharePoint, and cloud-based financial systems.

· Experience processing payroll.

· Knowledge of Generally Accepted Accounting Principles (GAAP).

· Experience with grant accounting and restricted funds strongly preferred.

· Excellent written and verbal communication skills.

· Ability to handle confidential information with discretion.

General Accounting

Maintain accurate financial records in QuickBooks Online.
Reconcile all bank, credit card and investment accounts monthly.
Prepare journal entries and supporting documentation.
Ensure all financial records are complete and audit-ready.

Accounts Payable

Review vendor invoices for accuracy.
Ensure proper approvals are obtained before payment.
Process vendor payments timely.
Maintain vendor files, including W-9 documentation.
Responsible for recording, documenting, tracking and reporting on agency’s donations and merchandise sales.

Payroll

Maintain and process bi-weekly payroll records and documentation accurately and timely.
Reconcile payroll accounts monthly.
Coordinate employee timekeeping and payroll allocations for grant-funded positions.
Ensure payroll complies with federal and state regulations.

Grant Accounting

Track expenditures by grant and funding source.
Monitor grant budgets and spending. Monitor grant expenditures to ensure compliance with approved grant budgets.
Prepare reimbursement requests and financial reports required by funders.
Maintain grant documentation for audit and compliance purposes.

Audit & Compliance

Coordinate requests from external CPA.
Maintain accounting policies and internal controls.
Ensure compliance with nonprofit accounting standards.

Revenue Tracking

Record contributions, grants, sponsorships, merchandise sales, and other revenue accurately.
Reconcile donor records with accounting records.
Assist with monthly fundraising reconciliation.
Record cash receipts and prepare bank deposits.

Budgeting

Assist the Director of Operations in the preparation and monitoring of annual operating and program budgets.

Working Hours generally

Monday- Friday 10:00 AM- 6:00 PM

Some nights and weekends required

Compensation

–$40 per hour, commensurate with nonprofit accounting experience.
