Full Job Description

Job Summary

We are seeking a dynamic and highly organized Executive Assistant to join our team! In this vital role, you will provide high-level administrative and operational support to the Executive leadership team and Clinic Manager. This position requires exceptional multitasking, regulatory awareness, and strict confidentiality. Your proactive approach, exceptional organizational skills, and technical proficiency will help drive productivity and foster a positive work environment. This position offers an exciting opportunity to be at the heart of our organization’s success, supporting key executives with professionalism and enthusiasm.

Duties

Provide comprehensive administrative support to executive leaders and oversee office management tasks such as filing, data entry, proofreading documents, and maintaining organized records.
Assist with personal tasks for executives when required, acting as a reliable personal assistant with excellent time management skills.
Assist with items in SQSS (departmental procedures, departmental equipment, documents, etc.)
Assist with facility and departmental patient satisfaction surveys in SQSS and assist in analyzing the survey data to identify opportunities for improvement.
Assist in updating facility procedures.
Handles or coordinates any special assignments which may be delegated by the Chief Operating Officer.
Assist with preparation for board meetings, QAPI meetings, executive committee meetings, and other important gatherings. This includes preparing agendas, packets, transcribing minutes, and following up on action items.
Assisting with special projects and initiatives as directed by the Exec team. This may involve research, assistance with employee onboarding, coordinating with other departments, event planning, and tracking project progress.
Maintaining discretion and confidentiality regarding sensitive information related to the hospital and its operations.
Other duties as assigned.

Qualifications

Education: Associate or bachelor’s degree in business administration or a healthcare related field is preferred.
Experience: 3 or more years of administrative/secretarial experience, preferably in a hospital or clinical setting.
Knowledge: Familiarity with medical terminology, CAH regulations, SQSS, and healthcare administration protocols.
Skills: Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), impeccable written and verbal communication skills, and the ability to handle sensitive information with discretion.

Pay: From $37,440.00 per year
