Job Summary
We are seeking a proactive and organized Office Assistant to join our team in a remote capacity. This vital role supports daily administrative operations, ensuring smooth communication, efficient data management, and excellent customer service. The ideal candidate will be detail-oriented, tech-savvy, and capable of managing multiple tasks with professionalism and enthusiasm. Responsibilities

Manage front desk operations virtually, including greeting clients and handling inquiries via multi-line phone systems and email correspondence
Maintain accurate records through data entry, filing, and document proofreading using Microsoft Office and Google Workspace tools
Handle bookkeeping tasks utilizing QuickBooks to manage invoices, expenses, and financial records with precision
Support office management functions such as calendar management, appointment scheduling, and organizing virtual meetings
Assist with client communication by providing excellent customer support and ensuring confidentiality of sensitive information
Coordinate administrative tasks including typing reports, organizing files, and managing office supplies remotely
Provide personal assistant support by managing schedules, setting reminders, and facilitating efficient time management for team members

Experience

Proven clerical experience with a strong background in office administration or support roles
Familiarity with multi-line phone systems, front desk procedures, and professional phone etiquette
Strong computer literacy with excellent organizational skills and attention to detail
Bilingual abilities are a plus to enhance client communication across diverse populations
Prior experience in customer service or client support roles that require effective communication skills both written and verbal
