Full Job Description

Northern Light Eastern Maine Medical Center

Department: Hospital and Other Admin - Executive Suite

Position is located: Bangor, Maine

Work Type: Full Time / 40 Hours per week

Requirements:

Associate's Degree in secretarial science or equivalent combination of education and experience required
5 years of experience as an Administrative Assistant or similar role

Summary: Provide high-level administrative support by handling leader calendar(s), conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

Responsibilities :

Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals
Maintain calendar(s) for assigned executives. Schedules appointments, meetings (including web-based meetings) and vendor presentations to maximize time and availability. Evaluates meeting requests and prioritizes based on executive's direction and personal knowledge of strategic importance of subject matter
Manages corporate credit card account making discretionary purchases as needed to run the executive's office including monthly reconciliation of account. Ensures proper accounting for purchases
Generate memos, emails and reports when appropriate
Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material
Create, maintain, and enter information into databases
Maintain office supplies by checking inventory and ordering items As a proxy for and under the supervision of leader, enters, edits and approves time and requests corrections
Maintain a safe environment complying with Northern Light Health policies and procedures; report and directly address environmental hazards and violations of patient safety policy and/or protocol when involved or observed
May perform other duties upon request.

Northern Light Eastern Maine Medical Center is a 411- bed, regional tertiary care hospital and an American College of Surgeons-verified Level II Trauma Center. Located in Bangor, Maine, it serves as the principal referral center for a patient population of 500,000 residents across the northern two-thirds of the state. The medical center provides comprehensive inpatient and outpatient services, including advanced surgical care, neurosciences, cardiovascular medicine, oncology, and critical care. Eastern Maine Medical Center is the base for LifeFlight of Maine, a critical care air medical transport program that conducts nearly 900 missions annually, ensuring timely access to specialized care for rural and remote communities. As a member of Northern Light Health, the medical center is part of an integrated statewide health system comprising nine hospitals, numerous primary and specialty care practices, long-term care facilities, home health and hospice agencies, and emergency ground and air transport services. This integrated model supports coordinated, patient-centered care across the continuum.Eastern Maine Medical Center plays a central role in advancing clinical quality, operational efficiency, and health equity throughout the region. It is actively engaged in clinical education and serves as a training site for medical students, residents, and fellows through affiliations with academic and professional institutions.Bangor, Maine offers a stable and supportive environment for healthcare professionals.
