Operations Coordinator

What You’ll Do:

implement, maintain, and OWN all systems for delivering excellent internal and external customer service, internal communication, team calendar, company social media presence internally and externally, office management, client care systems, team retention and recognition including events, and referrals. Look for ways to systematize and implement to keep team progressing at a high level.
Support the team growth efforts through posting recruiting ads, calling agent recruits for initial screening, and scheduling appointments for Team Operator.
Be apart and epitomize the team culture and spot and speak to it and maintain team standards and expectations.
Create and own systems for maintaining integrity of the database, including holding agents accountable to activities.
Own the agent onboarding and offboarding process, including holding trainings in person and virtually.
Follow the systems for our productivity rhythms to ensure agent productivity.
Plan and execute a minimum of 2 client events that are done at a high level to drive business referrals.
Ensure all team receipts are obtained and submit to the finance team, when reports are generated, take ownership of finding opportunities to reduce expenses.
Create and maintain the team’s operations manual that documents all systems and standards that are not able to exist within our technology leverage, Brivity.
Keep the team leader informed of any challenges that arise and bring potential solutions.
Commit to weekly 1:1 coaching sessions, PLACE trainings, and Brivity trainings.
Complete the listing launch and contract to close process for all transactions. Track all in and outbound referrals and buyer broker agreements.
Provide a world-class experience for clients through phone and email on behalf of the team through contract and beyond.
Manage virtual assistants who are helping with social media, transaction management and recruiting.
Audit listing data, descriptions, and pictures in teams MLS and social media.
Audit and help with coordinating track photography, staging, sign installation, and other listing launch functions.
Act as the liaison between real estate agents, virtual assistants, clients, attorneys, escrow companies, and mortgage brokers.
Read all aspects of contracts in order to execute obligations and to maintain accurate and compliant transaction files (inspection reports, receipts, bills, etc.)
Manage and maintain budgets for monthly marketing expenses.
Create timelines and follow-up processes/check-ins with agents to ensure all transaction deadlines are met resulting in a timely closing.
Order home warranties and create and send compensation agreements to title companies for closings.
Generate reviews and referrals from clients during and after the transaction.

Required Background:

Requires a prior work history that demonstrates the ability to plug into and improve existing systems and provide an enthusiastic level of support to a team.
1+ years experience in an operations/administrative role.
Real estate license required. If unlicensed, will be required to obtain license within three months of hire date.

Other Details:

Compensation depending on experience, ranges from $50,000-55,000/yr with potential bonus opportunities.
We have an in-house work model, full-time, Monday-Friday. Occasional evenings and weekends will be required.
