About Us

McClain Cellars is a boutique winery dedicated to bringing people together. We live by our credo: “We are friends and family serving friends and family with passion, love, respect, and appreciation.” We have built an incredibly efficient, proprietary software platform that handles the heavy lifting of our operations. Now, we are looking for a dedicated, sharp, and organized professional to anchor our Irvine corporate office and warehouse, keeping our administration, compliance, and guest relations running flawlessly.

Position Overview

We are seeking an Operations Assistant & Compliance Coordinator to act as the operational right hand to our CEO and leadership team. This is a diverse role blending executive administrative support, light bookkeeping, customer service, and specialized wine industry compliance. You will be the central hub of our day-to-day office operations, ensuring our systems are updated and our customers are thrilled.

Key Responsibilities

Executive & Office Administration

Act as a direct administrative assistant to the CEO, managing schedules, coordinating tasks between locations, and handling daily office logistics.
Manage incoming phone calls, company email inboxes, and customer inquiries with warmth and professionalism.
Oversee the Irvine office/warehouse environment (receiving packages, tracking inventory, managing the company van maintenance log).
Support quarterly wine club allocations and shipping, including assisting with our quarterly weekend pickup parties.

Bookkeeping & Compliance

Handle basic, light bookkeeping in QuickBooks (A/P, A/R, and routine data entry).
Manage reporting and compliance documentation specifically for our ABC Type 02 wine license, ensuring all state and local regulations are strictly adhered to.
Utilize our proprietary software platform to update CRM records, manage customer data, and streamline order processing.

Customer Support & Hospitality

Provide exceptional customer service via phone and email to our retail guests and wine club members.
Assist with booking reservations for our tasting lounges and operating the POS system when required.
Safely lift and move cases of wine (up to 45 lbs) for inventory organization and shipping prep.

Qualifications

Experience: 2+ years in an Administrative Assistant, Office Management, and/or Bookkeeping role.
Industry Knowledge: 1+ years of experience in the wine industry with exposure to ABC Type 02 compliance reporting is highly preferred but not required.
Tech Savvy: Proficient with Mac OS (we are a Mac-only office), QuickBooks, Google Suite, and Microsoft Office. Comfort learning custom software platforms is essential.
Communication: Exceptional phone etiquette, clear writing skills, and a "people-first" attitude.
Speed & Accuracy: Ability to type a minimum of 40 WPM with high attention to detail.
Logistics: Ability to reliably commute to our Irvine location daily and lift up to 45 lbs regularly.

Job Type: Full-time

Pay: $27.00 - $33.00 per hour

Expected hours: 35.0 – 45.0 per week
