Full Job Description

Job Overview

Ignite your leadership skills as an Administrative Manager, where you'll spearhead the efficient operation of administrative functions across the organization. This dynamic role calls for a proactive, organized professional who thrives in a fast-paced environment, ensuring seamless coordination between departments, streamlining processes, and fostering a productive workplace. Your expertise will empower teams to achieve their goals while maintaining high standards of operational excellence.

Duties

Key Responsibilities

Lead and supervise the administrative office, including hiring, training, performance management, and staff development.
Oversee accounting operations, payroll, financial reporting, and year-end processes in coordination with the company's CPA.
Administer employee benefits, 401(k), union reporting, payroll deductions, and regulatory compliance.
Manage corporate records, shareholder records, business licenses, insurance policies, leases, and government filings.
Coordinate accident and insurance claims while ensuring compliance with company policies and legal requirements.
Review and approve commercial charge accounts and maintain company security, key control, and administrative records.
Provide backup support for accounting, human resources, and safety functions as needed.
Prepare financial analyses, reports, and executive correspondence to support the General Manager/CEO.
Identify opportunities to improve administrative processes and ensure the efficient operation of the business office.
Perform other related duties and special projects as assigned.

Requirements

Proven experience in administrative management or a similar leadership role within an organizational setting.
Exceptional organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
Strong interpersonal and communication skills to lead teams and collaborate across departments.
Proficiency in office management software such as MS Office Suite (Word, Excel, PowerPoint) and enterprise resource planning (ERP) systems.
Expierence in full-cycle accounting .
Ability to handle sensitive information with confidentiality and professionalism.
A proactive mindset with problem-solving skills and a keen eye for detail.
