Full Job Description

SUMMARY:

The Purchasing clerk will primarily work along side of customer service, operations, and job/inventory scheduling to complete daily tasks ensuring accuracy of purchase order creation, properly obtaining supporting documents and storing all records appropriately. Maintain quality control and consistency in the ERP system. Purchasing Clerk will be responsible for processing 3 way matching of documents to ensure timely payments to subcontractors/suppliers. The purchasing clerk will work closely with the operations team to onboard new suppliers/subcontractors.

RESPONSIBILITIES:

Onboard new suppliers/subcontractors and enter in ERP system.
Creating and maintenance of purchase orders. Sending copy of purchase order to supplier and subcontractors.
Entering and maintaining cost of material in ERP system. Verify accuracy and process cost increase approvals.
Process check requests for milestone prepayments to subcontractor / suppliers.
Process company purchase requisitions, purchase orders and receiving.
Collect and process orders for company apparel.
Running the Received / Not invoiced report.
Assist with other tasks assigned by the ERP Services Manager.
Collect all documents for 3 way matching to send to accounting for timely processing supplier / subcontractor payments.
The purchasing clerk will be responsible for obtaining and storing all documents to comply with UEC company policy and audit requirements.

Documents will include but not be limited to:

Supplier/Subcontractor quote.
Change order quotes.
Copy of the purchase order.
All email correspondence.
Receipt/pack list document.
Material Proof of delivery.
Field Service Reports / Vendor completion documents/Vendor reimbursements for utility prepayments.
Supplier / Subcontractor invoice.

COMPETENCIES/REQUIRED SKILLS:

ERP system experience (ERP/Procurement Systems (Epicor or equivalent) preferred) required.
Familiarity with construction, electrical contracting, or service-based project workflows strongly preferred.
Strong organizational skills with attention to detail and accuracy.
Excellent communication and cross-functional coordination skills.
Proficiency in Microsoft Office (Excel, Outlook, Word).
Self-starter with the ability to manage multiple priorities independently.
Organizational skills and attention to detail
Time Management Skills
Understanding of basic Purchasing concepts
Some prior experience as a Purchasing Clerk is advantageous
Reliable and dependable to meet assigned work hours

EDUCATIONAL REQUIREMENTS

High School Diploma or GED certificate
