Full Job Description

Job Summary

Federal government contractor is seeking an Administrative Assistant to support our engagement with the Head Start Customer Service Improvement Projects (CSIP) under the Office of Head Start (OHS), Administration for Children and Families (ACF). This position provides essential administrative, data entry, and records management support to OHS program staff and is well-suited for a detail-oriented professional with experience in a federal or early childhood program environment who is ready to contribute to a mission-driven team from day one.

Responsibilities

Administrative and Clerical Support

Perform a range of general administrative and clerical duties in support of OHS program operations, including scheduling appointments, preparing travel authorizations and vouchers in Concur Government Edition, arranging meetings, maintaining staff calendars, and coordinating assignments among staff.
Provide logistical support for regional meetings and federal management staff activities, including schedule coordination, meeting room reservations, and preparation and distribution of agendas and supporting materials.
Screen and route incoming communications, correspondence, and inquiries to appropriate OHS staff; prepare and issue correspondence for federal staff signature, ensuring documents are accurate, properly formatted, and submitted on time.
Complete general clerical duties including scanning, photocopying, data entry, and other recordkeeping activities associated with the maintenance of official OHS records.

Data Entry, Records Management, and Program Support

Assist with data entry and maintenance activities for OHS federal government management information systems, including the Head Start Enterprise System (HSES) and GrantSolutions; support grant action processing and program operations documentation tasks as directed by the Contracting Officer's Representative (COR).
Develop and maintain organized official grant files and the Regional Office shared electronic filing system on Microsoft Teams and shared drives, ensuring all records are complete, accurate, and audit-ready.
Assist in preparing weekly progress reports, monthly burn rate reports, and other required contract deliverables; support the development of written analytical documents, reports, and presentation materials based on data analysis as directed.
Contribute to special initiatives, projects, and other duties as assigned, adapting to evolving OHS program priorities in support of the overall team mission.

Qualifications

Education:

Bachelor's degree in a field related to task activities from an accredited college or university required.

Experience:

Minimum of 2 years of post-baccalaureate professional experience in administrative support, data entry, and records management in a government, nonprofit, or education environment.
At least 1 year of experience supporting Head Start, Early Head Start (EHS), or a related federal early childhood program preferred; familiarity with HS/EHS program operations and grant action processes is a strong asset.
Demonstrated experience scheduling appointments, preparing travel arrangements, arranging meetings, maintaining staff calendars, and coordinating assignments in a professional office environment.

Skills:

Basic familiarity with HS/EHS program domains including education, health and nutrition, mental health, social services, and family engagement, with a commitment to developing greater subject matter knowledge over time.
Experience with, or ability to quickly learn, OHS data systems including the Head Start Enterprise System (HSES) and GrantSolutions; exposure to grant action processing or program operations documentation is preferred.
Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook; experience with Smartsheet and Microsoft Teams is a plus; strong written and oral communication skills with the ability to produce professional-quality memoranda, reports, and correspondence.
