Full Job Description

The Role

Classic Vision Care is hiring a Remote Vision Medical Billing & Insurance Claims Specialist who can keep billing work accurate, organized, and moving to completion.

This is not a data-entry-only role. You will help make sure claims are prepared and filed correctly, rejected or unpaid claims are followed through, payments and explanations are documented, and open items do not quietly disappear. You must be comfortable working independently while keeping the practice informed about problems, priorities, and next steps.

The strongest person for this role is careful without becoming stuck, persistent without becoming careless, and honest about what they know and what they need to verify. Direct optometry, vision-insurance, or medical-billing experience is helpful, but we care just as much about ownership, judgment, confidentiality, learning ability, and reliable follow-through.

What You Will DoClaims and billing work

Review claim information for completeness and accuracy before filing.
File vision and medical insurance claims through the appropriate practice-management system or payer portal.
Check patient, insurance, provider, diagnosis, procedure, authorization, and supporting-document information rather than guessing when something does not match.
Track submitted claims and follow up on rejections, denials, missing information, filing deadlines, underpayments, and unpaid balances.
Correct and resubmit claims when appropriate, with a clear record of what changed and why.
Post or reconcile insurance payments, adjustments, explanations of benefits, and related billing activity as assigned.
Keep digital billing records, notes, attachments, and follow-up dates organized so another teammate can understand the status without starting over.
Identify recurring denial or filing patterns and help improve the process that caused them.

Communication and follow-through

Communicate clearly with insurance companies, practice teammates, and patients when assigned and appropriately trained.
Ask focused questions when information is missing, conflicting, or outside your authority.
Flag urgent deadlines, material errors, privacy concerns, and unusual payment issues early.
Give concise status updates that explain what is complete, what is blocked, who owns the next step, and when follow-up will occur.
Close the loop on assigned work instead of treating a note, voicemail, or first submission as the finish line.

Remote-work responsibility

Work reliably during the agreed schedule and communicate early if a real issue affects availability.
Maintain a dependable internet connection and a private work area appropriate for confidential patient and practice information.
Follow all required privacy, security, access-control, documentation, and approved-device procedures.
Stay organized without constant supervision and make progress visible through accurate notes and task updates.
Protect passwords, patient information, payer information, and practice data; never move confidential information into unapproved tools or personal accounts.

How Success Is Measured

We look at both results and behavior.

Clean, timely filing: Claims are submitted accurately and within required deadlines.
Follow-through: Rejections, denials, missing documents, and unpaid items have clear owners, next steps, and follow-up dates.
Accuracy: Entries, notes, payment activity, and claim corrections are dependable and supportable.
Aging control: Open work is reviewed by priority and does not sit unnoticed.
Communication: The practice receives early, useful updates instead of late surprises.
Ownership: You surface mistakes, take responsibility, fix what you can, and prevent repeat problems.
Confidentiality: Patient and practice information is handled carefully every time, including when working remotely.
Improvement: You notice patterns, learn payer and practice rules, and help make the workflow clearer and more reliable.

Specific production, accuracy, and aging expectations will be taught and reviewed based on the responsibilities assigned and the systems available.

This role is a strong fit for someone who likes details, visible progress, problem-solving, and closing loops. It is not a strong fit for someone who needs constant reminders, avoids difficult follow-up, guesses when information is unclear, or sees documentation as optional.

What We Are Looking For

Strong attention to detail and comfort checking information across multiple systems or documents.
Reliable follow-through on work that may require several contacts or attempts to resolve.
Clear written communication and professional phone communication when calls are assigned.
Sound judgment about when to proceed, when to research, and when to escalate.
Comfort learning practice-management software, payer portals, spreadsheets, task systems, and written procedures.
A dependable remote-work setup, private workspace, and availability during the agreed Eastern Time schedule.
Respect for patient privacy, confidential data, secure access, and accurate documentation.
A record of responsibility, growth, accuracy, service, or strong performance in work, school, or another meaningful setting.

Experience with optometry, ophthalmology, medical, dental, pharmacy, insurance, accounts receivable, payment posting, claims, or other detail-heavy administrative work is helpful. Candidates with strong behavior and transferable evidence may still be considered when direct eye-care billing experience is limited.
