Job Summary

Position Summary

The Administrative Assistant provides organized, detail-oriented support to attorneys and staff in a legal office setting. This position is responsible for preparing and sending paperwork to new clients, maintaining and filing legal documents, assisting with federal court filings, and supporting client matters involving wills, estates, and trusts. The ideal candidate is professional, dependable, discreet, and comfortable communicating with clients during important and often sensitive legal matters.

Key Responsibilities

· Prepare, assemble, and send intake paperwork, engagement materials, forms, and correspondence to new clients.

· Communicate professionally with new and existing clients by phone, email, mail, and in person.

· Assist clients with scheduling appointments, completing required paperwork, and understanding next administrative steps.

· Maintain organized physical and electronic client files for wills, estates, trusts, probate matters, and related legal work.

· File, scan, save, label, and retrieve legal documents accurately and promptly.

· Assist with filing documents in federal court proceedings, including preparing documents for electronic filing and confirming submission details.

· Support attorneys and legal staff with drafting, formatting, proofreading, copying, mailing, and tracking legal correspondence and documents.

· Calendar deadlines, appointments, court dates, meetings, and follow-up tasks as directed.

· Maintain confidentiality of client information, legal documents, financial information, and sensitive estate-planning materials.

· Coordinate mailings, certified mail, document delivery, and receipt tracking as needed.

· Provide general administrative support, including answering phones, managing email, ordering supplies, and assisting with office organization.

· Perform other related duties as assigned to support the efficient operation of the office.

Required Qualifications

· High school diploma or equivalent required; additional education or training in office administration, legal studies, or a related field is preferred.

· Prior administrative experience required; experience in a law office, court system, estate planning practice, probate practice, or professional services office is preferred.

· Strong written and verbal communication skills.

· Excellent attention to detail, accuracy, and follow-through.

· Ability to organize and prioritize multiple tasks, deadlines, and client matters.

· Proficiency with Microsoft Word, Outlook, and general office technology.

· Ability to learn and use legal practice management systems, electronic filing systems, and document management tools.

· Professional judgment, discretion, and commitment to maintaining confidentiality.

Preferred Skills and Experience

· Familiarity with legal terminology, client intake procedures, and confidential file handling.

· Experience preparing or managing documents related to wills, trusts, estates, probate, or litigation matters.

· Experience with federal court electronic filing procedures or willingness to learn applicable filing systems and requirements.

· Strong proofreading, formatting, and document preparation skills.

· Ability to interact compassionately and professionally with clients who may be handling estate planning, probate, disability or family-related matters.

Work Expectations

This position requires a high level of professionalism, organization, confidentiality, and client service. The Administrative Assistant must be able to work independently, follow established procedures, ask appropriate questions, and support attorneys and staff in maintaining accurate records and meeting important legal deadlines.
