Job Overview
The Collision Barn is seeking a dynamic and friendly Customer Service/Receptionist professional to be the welcoming face of our automotive team. In this role, you will serve as the first point of contact for visitors and clients, manage incoming calls with professionalism, and ensure smooth office operations. This position offers an exciting opportunity to develop your administrative and customer service expertise in a fast-paced environment.

Responsibilities

Greet visitors warmly and assist them with check-in procedures, ensuring a positive first impression
Make insurance claims and coordinate rental vehicles
Answer multi-line phone systems promptly, directing calls efficiently and professionally
Manage appointment scheduling, ensure timely retrieval of insurance information, and obtain necessary repair authorization documentation
Handle data entry tasks such as filing, record keeping, and updating databases
Perform clerical duties, including proofreading documents, managing correspondence, and maintaining organized files
Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping
Provide exceptional customer support by addressing inquiries accurately and courteously, both in person and over the phone

Qualifications

Proven office experience with strong organizational skills and attention to detail
Excellent computer literacy, including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Prior experience working with multi-line phone systems and phone etiquette standards
Bilingual abilities are highly desirable
Strong typing skills along with excellent proofreading capabilities
Experience in customer service or administrative roles
Ability to manage time efficiently while handling multiple responsibilities in a fast-paced environment
Personal assistant or receptionist experience that demonstrates professionalism and organizational excellence is preferred
Associates Degree
