Full Job Description

Job Overview
The Part-Time Closeout Coordinator / NJ Prevailing Wage Compliance Specialist is responsible for managing project closeout activities and ensuring compliance with certified payroll and prevailing wage requirements for applicable public works projects. This role works closely with Project Coordinators, Project Managers, subcontractors, installers, and internal teams to complete documentation accurately, submit payroll data on time, resolve discrepancies, and maintain audit-ready records in accordance with New Jersey labor requirements, including applicable SCA and DOE project standards.

Key Responsibilities

Manage project closeout activities, including documentation collection, verification, and submission to ensure timely project completion.
Monitor and ensure compliance with New Jersey prevailing wage laws throughout the project lifecycle.
Coordinate with project managers, contractors, and regulatory agencies to facilitate accurate wage reporting and documentation.
Review payroll records, certified payroll reports, and other relevant documentation for accuracy and compliance.
Maintain detailed records of all compliance activities using compliance management software and other tools.
Conduct audits of project documentation to identify potential risks or discrepancies related to wage laws or regulatory requirements.
Prepare comprehensive reports on project closeout status and prevailing wage compliance for internal review and external audits.

Experience

Key Responsibilities
Manage project closeout activities to ensure timely and accurate completion of required documentation and deliverables.
Prepare, review, and submit weekly certified payroll reports for public works projects in compliance with New Jersey prevailing wage requirements.
Enter and maintain project and payroll data in the New Jersey Wage Hub, including project setup and subcontractor assignments.
Verify payroll submissions against applicable prevailing wage determinations, classifications, and fringe requirements.
Track submission deadlines and ensure all filings are completed accurately and on time.
Review payroll reports and support documentation for completeness, accuracy, and compliance.
Identify discrepancies, coordinate corrections, and resolve payroll or documentation issues with internal teams and subcontractors.
Maintain organized, audit-ready records and retain documentation in accordance with company and regulatory requirements.
Support audits, agency inquiries, and internal compliance reviews as needed.
Collaborate with Project Coordinators, Project Managers, finance, operations, subcontractors, and installers to support project execution and compliance.
Serve as a point of contact for certified payroll and prevailing wage compliance questions and escalate complex issues when appropriate.
Stay current on New Jersey labor regulations and compliance updates affecting certified payroll and prevailing wage reporting.

Required Qualifications

Prior experience processing certified payroll and prevailing wage reports.
Experience using New Jersey Department of Labor and/or New York State Department of Labor payroll or compliance portals.
Understanding of prevailing wage determinations, worker classifications, and fringe calculations.
Strong attention to detail and accuracy.
Proficiency in Microsoft Excel and general office software.

Preferred Qualifications

Familiarity with construction, subcontractor, or installer payroll reporting.
Experience supporting audits, compliance reviews, or agency requests.

Skills & Competencies

Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Ability to interpret and apply prevailing wage requirements.
Ability to work independently while managing multiple deadlines.
Professional discretion and confidentiality in handling payroll and project data.
