Full Job Description

Position Title: Admissions Assistant Status:

Primary Purpose: The Admissions Assistant is responsible for assisting the Admissions Manager in all aspects of animal intake, including the transfer and owner surrender (rehoming) programs. This position assists in coordinating incoming animals from established and new transfer partners to maximize lifesaving efforts across Nevada and other states. The Admissions Assistant also supports the owner surrender program by providing resources to help families keep pets in their homes whenever possible and facilitating compassionate admissions into the shelter when needed.

Reports to: Admissions Manager

Duties/Responsibilities:

1. Assist the Admissions Manager with planning, preparing, and executing animal transfers into the shelter.
2. Responsible for cleaning, sanitation, and maintenance of all areas within the transfer department including, but not limited to transfer van, intake exam room, halls, and transfer crates.
3. Follow prescribed cleaning protocols using approved cleaners. Clean and disinfect animal transfer crates. Ensure that the inside/outside areas are free of animal waste.
4. Responsible for organizing, storing, and maintaining transfer equipment and crates.
5. Assist shelter staff with weekly population assessments to ensure timely planning for incoming animals. This includes participating in weekly population rounds.
6. Attend shelter rounds in the absence of the Admissions Manager and represent the Admissions Department in a professional manner.
7. Coordinate animal transfers, including scheduling, transportation logistics, and required documentation. Ensure that any required animal supplies are identified and included in the transport of the animals.
8. Maintain accurate and timely animal, transfer, and admissions records within the shelter database, ensuring all required documentation, history memos, intake exam records, vaccination records, and other medical and behavioral information are entered and maintained accurately.
9. Take and upload photographs of animals as needed for shelter records, transfer coordination, medical documentation, and database management.
10. Organize pre-intake records in the shelter database prior to transfers when applicable.
11. May operate the organization's transfer vehicle as needed to facilitate the safe transport of animals, supplies, and equipment.
12. Assist with gathering, verifying, and documenting medical and behavioral information for incoming animals to ensure appropriate placement and care planning.
13. Assist with reviewing owner surrender requests and gathering information needed for intake decisions.
14. Provide resources and referrals to pet owners when appropriate to support pet retention efforts.
15. Communicate professionally and compassionately with individuals seeking to surrender animals.
16. Maintain accurate records and documentation related to owner surrender inquiries and admissions.
17. Interact with co-workers and volunteers in an efficient and courteous manner to ensure a cooperative team environment amongst all departments.
18. Maintain and promote a positive public image standard relevant to PNHS and solicit support of the agency overall.
19. Participate in disaster preparedness and response activities for the shelter and community as it pertains to pet animal-related needs.
20. Attend and participate in departmental and shelter meetings. Attend educational training as recommended/approved.
21. Maintain confidentiality regarding sensitive matters related to PNHS.
22. Know and enforce safety protocol and accident response procedures. Report or correct any safety hazards or unsafe use of PNHS equipment.
23. Responsible for keeping relevant work areas clean and organized.
24. Other duties as assigned by Admissions Manager and Director of Operations.

Working Conditions: The Admissions Assistant has an air-conditioned office space that is shared with the Admissions Manager. Although most work takes place indoors, there will be some work outdoors, including animal handling. The position includes direct contact with animals of varying sizes, temperaments, and handling needs. Some work may also be conducted at alternative venues and/or in the community as assigned by the Admissions Manager. Potential exposure to environmental factors including temperature variations, high noise levels, animal waste, zoonotic diseases, hazardous chemicals or materials requiring OSHA Safety Data Sheets (SDS), anesthetic agents, sharp objects, and potentially hostile individuals and/or dangerous or fractious animals.

Equipment Use: Use of basic office equipment such as computer, copier, telephone, etc. May also include common items for animal care such as harnesses, collars, leashes, etc. Could include animal restraint equipment.

Work Hours: This is a part-time position requiring 28 hours per week. Flexibility is required as attendance at events and other functions may require weekend and/or evening work. May also flex for emergencies or other PNHS activities.

Mental Demands: This position requires the ability to work independently while functioning in a team environment. Must have the ability to multitask, meet deadlines and handle stress. Position requires excellent organizational skills, a high level of accuracy and attention to detail and the ability to use sound judgment. The work may involve exposure to emotionally challenging situations, including animal neglect, illness, injury, owner hardship, resource limitations, and difficult admissions decisions. The ability to maintain emotional resilience, sound judgment, professionalism, and compassion is essential.

Physical Demands: This position involves desk and computer work but also involves standing or sitting for long periods of time. This position requires the ability to work indoors and outdoors. Animal handling required; must be able to safely handle and control domesticated animals (dogs and cats) of varying sizes, temperaments, and medical conditions. Some lifting may be required; generally, should be able to lift and carry up to 50 lbs. This is a physically active position.

Minimum Requirements: ● Minimum high school graduate or equivalent. ● Should possess excellent interpersonal and communication skills. Able to read, write and speak clearly in English so that written and verbal instructions can be followed. ● Proficient computer skills, including experience with Microsoft Office, Google Workspace, and database management systems. ● Knowledge of basic animal care and handling and basic animal medical care. ● Strong attention to detail with a high degree of accuracy and organization. ● Goal oriented self-starter. Must be willing to work both independently and as a team. ● Must be able to meet deadlines. ● Must maintain a professional demeanor in both appearance and conduct and exercise discretion when working with confidential information. ● Valid driver's license with an acceptable driving record and the ability to be insured under the organization's vehicle insurance policy.

General Qualifications: ● Must have a passion for animals and support the mission of the Pet Network Humane Society. ● Must treat animals humanely, with love and concern both on and off the job and transmit these values to others. ● Must adhere to all local laws regarding personally owned animals. ● General knowledge of pet behavior and care. Ability to work with animals in a safe and responsible manner. ● Positive attitude is a must!

Additional Qualifications that would benefit this position: ● Previous experience working in an animal shelter is preferred. ● Previous admissions, intake, customer service, or related experience preferred. ● Knowledge of dog behavior and training principles preferred. ● Experience with Shelterluv or similar animal shelter management software preferred.

Pay: $17.00 - $19.00 per hour
